Position Summary/Purpose of Position:

The Alumni Engagement and Outreach Team at the University of Maryland Alumni Association recruits alumni to participate in meaningful events, programs, and volunteer opportunities, as well as strategically engage our alumni to cultivate relationships. The Alumni Engagement and Outreach Team is seeking a dynamic Events Coordinator to assist in the planning and execution of Category 1 and 2 events and manage Category 3 events independently.

The Events Coordinator is responsible for supporting the Director and Assistant Director of Alumni Events and Programs in the planning and staffing of 50+ events annually. The Alumni Engagement and Outreach Team plan dynamic events and programs for alumni, both locally and regionally.

Under the direction of the Director of Alumni Events and Program, the coordinator is responsible for tracking event registrants, fielding calls, providing customer service, corresponding with alumni and vendors via phone and email, securing contracts, drafting briefings, data entry, collateral, rsvp form and landing page creation, and other duties as assigned. S/he will also manage all logistical components, strategy and content for a small portfolio of events.

The Coordinator must have the availability to work evenings and weekends throughout the year.
Must be able to travel locally and regionally 15% of the time. This position may be physically demanding at times; must be able to lift 40 lbs.

Minimum Qualifications:

Education (include licenses, certifications, etc.):
Bachelor's degree.

Experience:
A minimum of 2 years of full-time experience in an events administrative role or similar.
Experience in data-based information systems.

Knowledge, Skills, and Abilities:
Exemplary written and verbal communication skills.
Excellent interpersonal and organizational skills and the ability to work effectively with a wide range of constituencies in a diverse community are necessary.
Must work effectively and collegially in a team environment.
Exceptional attention to detail and resourcefulness.
Must have superior customer service skills.
Ability to balance multiple high-level priorities.
Proficient in Microsoft Office Suite.
Knowledge of venue and vendor contracts.
Ability to work evenings and weekends.
Ability to travel up to 15% locally and regionally.

Familiarity with Advance or similar database skills.
Familiarity with event management or registration software.
Experience working with or supervising volunteers.
Experience in nonprofit/higher education environment.
