Administrative Assistant

Position Summary:
The Student Success Center ( SSC ) is a department of the Office of the Vice Provost for Undergraduate Academic Affairs and reports to the Assistant Provost for Student Success Initiatives. The primary responsibilities of the Administrative Assistant is to support the vision, mission and goals of the SSC , supervise and manage the day-to-day operations of the SSC , and provide administrative support and assistance to the SSC staff which includes: Director, Associate Director, Assistant Directors and Graduate Assistants. This position serves as the departmental receptionist and office manager. The essential duties to the operation of the SSC include, but are not limited to administrative duties, program support, training and supervising temporary/student employees, prioritizing and directing work assignments to meet deadlines, planning and monitoring budget activities, assisting with scheduling and compilation of materials for administrative duties, scheduling meetings, conferences and handling arrangements for the same. In addition, this position is also responsible for handling personnel appointments, disseminating information regarding policies and procedures, providing technical support, processing bi-weekly payroll in the University payroll system and maintaining the departmental website. The normal work hours are from 8:00am to 5:00pm, however some programming and activities do occur after normal business hours and on weekends. Attendance of all staff including this position is required at some after hour events.

Required Qualifications:
- Administrative support experience in an academic or professional office setting.
- Experience such as planning and coordinating meetings, conferences, programs and events.
- Proficient computer skills and experience such as calendar management, and using office and presentation software such as Microsoft Office - Word, Excel, Outlook and PowerPoint.
- Excellent communication and interpersonal skills.
- Ability to create, compose, and edit complex written material.
- Excellent customer service and organizational skills.
- Excellent attention to detail and high standards for quality of work.
- Ability to understand and work with university policies and procedures including, but not limited to, the Family Educational Rights and Protection Act ( FERPA ).
- Ability to work comfortably with all individuals in a diverse multicultural environment.

Preferred Qualifications:
- Associate Degree in a related field or considerable progressive office experience as a secretary or equivalent.
- Experience with databases such as BANNER and HokieMart.
- Experience working with travel arrangements, reimbursements and budget management.
- Knowledge of and experience with university fiscal procedures.
- Supervisory Experience.
- Experience with website design and maintaining social media sites.
