Position/Job Summary

Coordinate operations and administrative processes for the areas of general education, integrative studies, Summer Scholars Program, and experiential learning for the School of Humanities and Sciences; ensure the efficient operation of all programs to include development of technology solutions. Assist with implementing and coordinating application processes, collect, maintain and prepare data, monitor and manage budget and financial processes related to the programs, and develop and maintain program materials, websites, and social media platforms. Serve as a liaison for faculty, staff, students, parents and other constituencies regarding program requirements, logistics, and application process and outcomes. Develop, plan, and coordinate events, workshops, and meetings integral to program operations and effectiveness.

Position/Job Responsibilities

1. Coordinate operations and administrative processes and procedures required for the efficient operation of programs. Research technology solutions, design online forms, ensure accuracy of data and effectiveness of form processing; identify and implement process and workflow improvements. Design online surveys, compile data, and prepare preliminary data analysis to support program assessment. Prepare and distribute correspondence with student and faculty applicants and faculty committees; manage email accounts, and respond to inquiries from external constituents, students, staff, and faculty regarding program requirements and application outcomes.

2. Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.
3. Plan, coordinate, and schedule meetings and events associated with the Exploratory program and Humanities and Sciences programs and projects. Schedule meetings, provide event logistical support, and maintain and reconcile program and event budgets.

4. Serve as a liaison with a variety of constituencies to support and expand Humanities and Sciences programs. Develop and maintain an understanding of programs offered and related issues to include H&S CLA curricular requirements and risk management and financial processes related to experiential learning. Provide advising and guidance to students on curricular requirements of general education, and guidance and feedback to students and faculty regarding proposals to various programs. Develop and maintain relationships with faculty and staff on campus, and with partners in off-campus organizations.

5. Supervise student assistants and student interns to include recruiting, interviewing, and hiring. Organize student schedules, provide advice and counsel, and identify opportunities for professional development; ensure quality and timeliness of work products.

6. Oversee the exploratory peer leaders and ambassadors program to include recruiting, interviewing and supervising peer leaders and ambassadors, organize schedule for peer leaders and ambassador appointments with students, provide advice and counsel to peer leaders and mentors, and identify opportunities for professional development.

7. Maintain and reconcile the budget(s) for the Exploratory Program and for specific projects within the Humanities &Sciences Dean's Office. Process expense reimbursements or purchases through the College's Human Resources and Financial Information system, Parnassus. Coordinate payment of stipends for summer faculty mentors, hire summer student interns/researchers, and manage financial paperwork associated with Summer Scholars and Student Conference Fund. Collaborate with department financial managers on the proper disbursement of funds associated with the Summer Scholars Program. Monitor appropriate student assistant hiring and payments for the Summer Scholars across all departments.

8. Develop content for and manage program web pages in consultation with the Operations and External Relations Officer; participate in the design of sites and generation of content, researching material, developing student profiles, and creating photo galleries. Participate in developing social media sites for incorporating relevant content. Work with the Associate Dean and faculty chairpersons to assess effectiveness of websites and social media design and use. Create and disseminate announcements, develop news stories, and design and produce flyers and posters in consultation with and in backup to the Operations and External Relations Officer. Develop, edit, and maintain program-related manuals, guidelines, and other materials.

9. Provide administrative support for the Academic Director of the Exploratory Program and the Associate Dean for Curriculum and Undergraduate Programs to include scheduling appointments and meetings, purchasing supplies, making travel arrangements. Assist in course scheduling, course evaluations, and arranging admission appointments.

10. Provide general administrative support within the School of Humanities and Sciences Dean's office as needed, including occasional front office coverage.

Position/Job Qualifications

Associate's degree and a minimum of 3 years previous office experience or the equivalent combination of education and experience; in-depth knowledge of Microsoft Office including advanced knowledge of Word (e.g., building tables of contents, mail merge) and Excel (e.g., filtering, creating pivot tables, producing charts), adobe, cloud-based platforms such as Google Docs and Dropbox, as well as various survey database software applications including Qualtrics; strong knowledge of web and social media applications; excellent attention to detail, strong interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; demonstrated analysis, critical thinking, and problem solving skills; ability to work independently, take initiative, prioritize projects, handle multiple tasks and meet deadlines are required. A bachelor's degree and previous experience working with faculty, staff, and students in a college or university are preferred.
