Event Sales Manager

Title Position Reports To: Director, Auxiliary and Event Services

JOB SUMMARY:
The position provides leadership for the management and implementation of the marketing and sales efforts for Adelphi University's office of Auxiliary and Event Services. The position is responsible for Business Development, Strategic Planning and Goal Setting as well as promoting the various Adelphi University satellite locations. The position exists to generate revenue through external sales, marketing, contract negotiation and public relations.
RESPONSIBILITIES & DUTIES:
Develop a marketing plan for the Garden City and satellite campuses. Manage marketing material such as sales kits, web page information and any promotional material.
Responsible for overseeing the planning of all contracted events; including sales, screening of clients, negotiation of contracts and operational preparations.
Responsible for generating business through networking, collaborations and community involvement.
Responsible for conducting market analysis
Manage all components of the Event Sales aspect of the operation including, execution of contracts, certificate of insurance, deposits, final invoice payments, room sets, audio visual needs and catering coordination.
Forecast and manage budgets.
Assesses events financial and non-financial benefits to the university.
Process final invoices within three business days of close of event.
Must Collaborate closely with the Space Utilization Manager and the Event Services team to ensure all aspects of the "booking" set up and servicing are communicated properly.
Responsible for training of any personnel utilized in the sales area.
Assist in Event Servicing of internal and external groups as requested or needed.
During summer periods assist Event Services with room assignments, group check in and out of residential housing and acting as event contact for overnight groups.
Provide excellent customer service in all areas of event booking and planning.
Maintain a safe environment for guests, campers, employees and students
Maintain and submit monthly sales activity reports to the Director.
REQUIREMENTS:
Knowledge and ability to plan and coordinate the logistics of complex events.
Demonstrated knowledge, skills, abilities in marketing including the ability to develop and implement a marketing plan, identify potential clients and develop sales material.
Ability to identify priorities and manage complex tasks simultaneously.
Ability to establish and maintain effective communications with coworkers, administrators, students, clients, vendors and guest to the university.
Must have experience in a position that required customer service and interpersonal skills dealing with difficult people and high stress, complicated situations.
Performs other duties as assigned.
Physical requirements :
Sitting, walking and standing for long periods of time.
Must be able to work nights and weekends as needed and directed.
Ability to travel and meet clients at various campus locations
Able to reach, bend, pull, push and lift up to 50lbs. when necessary.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:
Minimum two years related experience as a meeting or event planner in the conference and events industry, preferably in a university setting.
Bachelor's degree required
