The Client Service Representative acts as the primary contact for students, parents, college personnel and other involved parties concerning student accounts and financial aid. They serve as an advocate and advisor assisting constituencies with their rights and responsibilities regarding their financial obligations to the college. The Client Service Representative tracks confidential documents, routes inbound telephone calls, monitors email inquiries and acts as a liaison between Student Financial Services staff and students/parents. They are responsible for various financial aid processes that must be performed regularly to ensure all SFS correspondence is delivered in a timely manner. They performs related responsibilities as required.

Essential Functions:
The Client Service Representative provides exceptional customer service to students and parents regarding the details of the student account and financial aid by communicating in person, via phone, email, fax or mail. The Client Service Representative provides administrative support to SFS staff and is responsible for assisting customers with general inquires. Client Service Representatives use professional discretion when escalating more complicated issues to the appropriate Student Financial Services staff member when necessary. Student Financial Services is a fast paced, and at times tense, environment. The ability to communicate effectively both verbally and in writing with students and colleagues, in a professional manner, is essential to this position.

The Client Service Representative is responsible for supporting the operational workflow of Student Financial Services by efficiently tracking and filing confidential financial aid and student account documents received via mail, email and fax. Student Financial Services receives a very large volume of student correspondence throughout the year. Attention to detail and the ability to multitask are essential to this position. Accurate document tracking is crucial to ensuring that Simmons College students receive financial aid materials in a timely manner.

The Client Service Representative is responsible for performing weekly batch communication processes including the generation of missing information letters and emails, financial aid application pull lists and financial aid award letter printing. The Client Service Representative ensures that the information contained in Student Financial Services' communications is accurate and delivered in a timely manner. Additionally, the Client Service Representative consults with the Senior Associate Director Financial Aid and Technology to ensure that scripts are updated annually as required.

The Client Service Representative is responsible for ordering office supplies for the Student Financial Services staff as needed and ensures that sufficient inventory is available for large scale mailings that occur regularly throughout the year. The Client Service Representative also serves as the liaison between SFS and the Copy/ Mail Center to ensure that office handouts/forms, envelopes, letterhead, business cards, etc. are ordered as needed and that orders are completed as on time, as requested.

Qualifications:
  • Bachelor's degree and at least 3 years of experience
