Job Description
The Program Assistant provides administrative support for State Personnel Development Grant and Working with the Experts programs. The Program Assistant assists with event coordination, registration, data collection, and general clerical duties.

Required Qualifications
High school diploma or equivalent.
Four years of administrative support experience.
Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).

Preferred Qualifications
Bachelor's Degree from an accredited institution in Business Administration, Public Administration, Hospitality Management, or closely related field.
Experience planning and coordinating events, seminars, and conferences.

Knowledge, Skills & Abilities
Knowledge of general office procedures.
Excellent interpersonal, oral and written communication skills.
Skill in completing assignments accurately and with attention to detail.
Strong organizational skills and an ability to prioritize and complete simultaneous projects with minimal supervision.
Ability to gather data, maintain records, and prepare reports and other written materials.
Ability to interact in a professional manner with a diverse group of staff, faculty, students, and the community in a service-oriented environment.
Ability to work collaboratively and build strategic relations with colleagues, business partners, participants, and the general public.
Ability to work under pressure and meet close deadlines.

Ability to travel several times per year to oversee delivery of large events.

Salary Range
$14.37 - $15.33 hourly ($30,000 - $32,000 annually)

Job Duties

Essential Job Duties
•Assists with administrative support for State Personnel Development Grant and Working with the Experts programs. Greets visitors, coordinates travel, processes travel authorizations and reimbursements, screens and routes calls/mail/faxes. Assists with reports, business letters and memos, and general correspondence.
•Acts as a liaison and creates strong collaborative relationships between State Personnel Development Grant and Working with the Experts project participants, business partners, colleagues, and the general public.
•Assists the Director with planning of meetings, seminars, conferences and events. Coordinates logistics including invitations, registration, room reservations, audiovisual equipment, parking, catering, staffing, and preparing facilitator contracts.
•Designs, creates, proofs and edits program documents and publications including brochures, flyers, announcements, invitations, and handouts.
•Provides event delivery support such as room set-up, handing out materials, facilitator introductions and moderation, facility coordination, and technology troubleshooting.
•Maintains accurate records and metrics on all program activities, including participation, costs, pre/post test results, and evaluations. Develops and deploys surveys in Checkbox. Collects and analyzes data and prepares regular and ad hoc reports. Provides data and assists in the preparation of the Annual Performance Report as requested.
•Processes and awards Continuing Education Units to participants. Maintains accurate records of CEU's awarded.
