Work Control Coordinator - Facilities Services

Services is responsible for the efficient and cost effective operations, maintenance and management of all Tufts university facilities consisting of approximately 5 million square feet of space on three campuses (Somerville/Medford, Grafton, and Boston).

A broad range of services are provided to support the University campuses including: facility maintenance by all trades, capital maintenance, custodial services, energy and utilities systems, recycling and waste management, event services, residential facilities coordination and grounds maintenance.

Related functions, which require close coordination with this department, are public and environmental safety and security, campus planning, and design and construction of capital and deferred maintenance projects including major repairs, renovation and new construction.

Work control is the focal point for managing, processing and controlling requested maintenance, custodial and services work to be performed on facilities, building systems, equipment and other assets at the university. The Work Control Coordinator regulates the work coming into the work control center to ensure the timely and accurate creation, dissemination and documentation of work orders and related activity reporting across the Boston campus. Judgment and initiative are frequently exercised drawing upon an evolving understanding of the campus buildings, infrastructure, critical systems and key stakeholders. The Work Control Coordinator represents the "face" of facilities services to the university's faculty, staff and student constituencies. The incumbent must be a tactful, resourceful and responsive advocate and facilitator of excellent service. The incumbent must also be able to perform administrative tasks, including but not limited to payroll, dorm key assignments and other duties.


Qualifications:

Basic Requirements:
  • 3-5 years' experience in scheduling and working in a customer service role.
  • High School Diploma or GED.
  • Microsoft Outlook, Office, Maximo or other work order management system.
  • Strong written and verbal communication skills.
  • Ability to multi-task and make sound decisions under pressure.
  • Driver's License.
Preferred Qualifications:
  • Knowledge of methods, practices, procedures and equipment used in the maintenance of building facilities, preferably in a health and sciences setting.
  • Familiarity with a research and development facility or health sciences campus.
  • Experience working in a Union environment.
  • Bachelor 's Degree.
