Princeton University's Office of Finance and Treasury seeks an accomplished procurement specialist for a newly created position in the central Procurement Services function. This role requires an influential and capable individual who can exercise good judgment, collaborate effectively, and drive process improvements across the Source-to-Pay (S2P) lifecycle, in a non-mandate environment, while balancing the demanding and challenging requirements of a dynamic, world class education and research institution.


This role is expected to deliver measurable value across several key areas including leading sourcing events for goods and services across a range of categories, enhancing the user shopping and purchasing experience, negotiating contracts and terms, and educating stakeholders through ad hoc and formal training sessions.

The Senior Buyer provides a critical step in the purchasing process to ensure purchases initiated by campus are compliant to policy and regulation, but also uses appropriate levels of judgment, wisdom, and initiative to enhance the value of the buy and the overall process. This role exercises appropriate levels of judgment when negotiating contracts to ensure the appropriate balance between end users' objectives and legal protections for the University. As directed by the category managers, the Senior Buyer also manages a portfolio of contracts for assigned categories.


Finally, the Senior Buyer is the escalation point for campus department buyers, managers, suppliers, and internal Finance and Treasury stakeholders. The ability to resolve a wide range of issues across the S2P lifecycle in a collaborative and courteous manner requires high levels of both technical and interpersonal skills.

Responsibilities

Requisition Processing and Compliance
  • Collaborate with campus partners in assigned categories to ensure contracts, purchase requisitions, purchase orders, and payments are transacted efficiently and effectively
  • Negotiate supplier pricing and terms, calculate cost savings, and document purchase transactions in compliance with University policy and industry best practice
  • Initiate and implement process improvements which improve the effectiveness and efficiency of the e-procurement process
  • Review, evaluate, and approve purchase requisitions within an e-Procurement system
  • Use judgment and take necessary action to ensure selected suppliers are appropriate, terms of the agreement protect the University, and pricing takes into account the total cost of ownership for the purchase
  • Utilize interpersonal skills and well-reasoned judgment to balance and resolve conflicting demands and create optimal solutions that meet the needs of our researchers while delivering value and protection to the University

Tactical Sourcing & Contracting
  • Develop and execute Requests For Information (RFI) and Requests For Proposal (RFP) as requested by campus users or in support of category management objectives
  • Negotiate and develop contracts to ensure optimal value and risk mitigation are balanced
  • Develop, deliver, and manage value contribution and cost containment activities
  • Manage assigned contracts in collaboration with Category Manager to ensure the portfolio ofcontract suppliers meets the current and future needs of the University
  • Create and manage the contract and catalog data to ensure a simplified purchasing process
  • Perform the necessary analytics on spend data to identify sourcing opportunities that will result in cost savings and operational efficiencies

Campus Support
  • Resolve supplier, procurement, and fulfillment issues as necessary in support of campusdepartments
  • Utilize prioritization and judgment to provide high levels of service
  • Use available data to develop and communicate insights into common and recurring issues in order to leverage resources appropriately
  • Collaborate with other process stakeholders to ensure alignment across the organization
  • Lead training sessions to provide guidance to campus stakeholders regarding transactions, concepts, and procedures for sourcing and procurement


Qualifications

Essential Qualifications
  • Bachelor's degree in a relevant field
  • 5-7 years' experience in a sourcing and procurement profession
  • Strong negotiation skills
  • Experience with contracts and ability to apply legal terms and conditions
  • Experience with electronic sourcing and procurement tools
  • Ability to collaborate with multiple departments
  • Ability to manage a portfolio of contracts
  • Analytical skills necessary to drive process improvements
  • Ability to manage multiple priorities
  • Excellent skills with Microsoft Office Tools (Excel, Word, PowerPoint)


Preferred Qualifications
  • CPM or CPSM certification
  • Experience with PeopleSoft
  • Experience with Jaegger (formerly SciQuest) eProcurement tools
