Manager, Facility & Event Operations

PAY GRADE: 29E

DEADLINE: Open until Filled

CONTEXT OF THE JOB:

Under the general direction of the Senior Associate Director, the Manager is responsible for all facility and events operations in the Perkins Student Center. The position supervises the Event Services full-time office staff, miscellaneous wage staff, and student employees. Develops and implements policies and procedures in accordance with University of Delaware policies and established practices. Position also assists in the technical aspects of program production, e.g. lights, sound, staging. Direct oversight of security within the facility. Maintains education of current trends in the field of higher education and college unions.

MAJOR RESPONSIBILITIES:
  • Recruit, hire, train, mentor, schedule, supervise and/or terminate student and miscellaneous wage employees.
  • Supervise Event Services full-time non-exempt staff as well as conduct appraisals. Schedule and approve employee vacation, sick, and compensatory time.
  • Conduct regular meetings with staff.
  • Accumulate, assess, and analyze data on the use of Perkins Student Center facilities and operations through visual inspection, traffic data, evaluations, and written reports to gauge staffing needs and event success.
  • Coordinate the setup of major and minor events including but not limited to room configurations, technology needs, and catering specifications.
  • Coordinate with the Student Involvement Office to ensure proper and safe use of facilities as well as cooperate with University of Delaware offices and third-party vendors during major and minor events and programs.
  • Follow up with Facilities & Auxiliary Services in relation to scheduled events, set-ups, and building maintenance and renovations schedules.
  • Price, oversee, and procure purchases and repairs of facility equipment and furniture.
  • Prescribe originate and/or create as well as disseminate policies for staff and patrons. Draft manuals and operational procedures for Events Services Office.
  • Identify programs and events of concern within Perkins Student Centers facility. Coordinate emergency procedures and practices for facility offices and patrons. Conduct emergency/evacuation drills.
  • Plan and coordinate ongoing training opportunities and retreats for full-time staff, student, and/or miscellaneous wage staff.
  • Oversee the counting, recording and depositing of revenue of the various Perkins Student Center cash areas as well as submitting cash transmittals. Prepare and deposit monies from sales, solicitations, and program events sponsored by patrons, registered student organizations, chartered Greek organizations, and third-party vendors/
  • Assist Executive Director and Senior Associate Director on capital costs and projects such as construction and renovation and repurposing of space.
  • Performs miscellaneous job-related duties as assigned.

QUALIFICATIONS:
  • Bachelor's degree with three years' experience or equivalent combination of years of experience in building operations and scheduling.
  • Ability to supervise and train student employees, to include organizing, prioritizing, and scheduling work assignments.
  • Ability to provide training and educational growth for the development of student employees.
  • Ability to communicate effectively, both orally and in writing.
  • Extensive background in customer service.
  • Technical knowledge in sound, lighting and staging preferred.
  • Ability to use advanced techniques in spreadsheet, word processing, database, and presentation software.
  • Ability to work within a diverse environment and to provide a supportive, inclusionary and safe community.
  • Knowledgeable of University of Delaware policies and procedures preferred.
  • Cash flow management skills.
  • Experience in event planning.
