Purchasing Assistant - Hourly

This hourly position is max 20 hours per week.
Title Position Reports To: Office Manager

JOB SUMMARY:
The IT Purchasing Assistant plays an integral part in assisting the CIO staff members in ensuring daily smooth operations of the team's needs. This entails assisting the IT Procurement Administrator through purchasing quality materials at the best value; monitoring the work order system, corresponding with vendors to ensure timely delivery of orders and clerical assistance.

RESPONSIBILITIES:
Create and maintain documents and records, such as spreadsheets and departmental purchase order databases.
Perform a variety of duties and responsibilities involved in inventory and record keeping/reporting for the department; maintain accounting records, logs, and files; compile data for statistical and financial reports; check and organize data.
Assist IT staff, Adelphi community, and general public with requests in-person and via telephone and email.
Monitor work tickets closely to adhere with the 24 hour response policy and provide consistent updates to ensure transparency.
Process all returns and resolve any invoice payment issues.
Work directly with vendors to expedite product delivery and resolve procurement issues.
Assist with the management of Vendor Contracts.
Answer phone calls from campus community and vendors, and assist them with their requests/inquiries.
Prepare purchase orders and monitor the purchase order process to guarantee on time delivery.
Receive and notify technicians of any/all delivered materials.
Perform other duties as assigned by the Office Manager.

REQUIRED SKILLS:
Excellent interpersonal, communication and organizational skills.
Applicant must be detail-oriented, with strong critical-thinking, assessment and evaluation skills
Ability to prioritize workload according to volume, urgency, etc. following established team protocols and escalation guidelines
Very strong understanding of Microsoft Word, Access and Excel, Gmail, Google Docs, and Google Calendar
Experience with Microsoft Windows.
Knowledge of Purchasing Fundamentals and interest in technology
Must be able to multi-task, prioritize workload responsibilities, and work independently on tasks.

PHYSICAL REQUIREMENTS:
Ability to lift boxes, computers, etc.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:
Associate's Degree required. Bachelor's Degree and prior experience working in a fast-paced, technology-related office environment preferred.
