Real Estate Coordinator

PAY GRADE: 29E

CONTEXT OF THE JOB:

Under the general direction of the Director, Finance & Administration, the Real Estate Coordinator is assigned specialized asset management and lease administration responsibilities which will support the goals, objectives and technical requirements of a diverse university real estate portfolio.

The Real Estate Coordinator is responsible for managing the University's Rental Housing program, which includes 54 residential units in Newark, DE and the local surrounding area, and is expected to provide professional asset management and lease administrative services by providing well maintained temporary housing options to incoming employees of all levels, including senior administration, faculty and staff. The Real Estate Coordinator is also responsible for administering the leases associated with these residential units. In addition, the Coordinator, in conjunction with the University's Legal department, drafts, reviews and approves all agreements to lease, purchase, sell or otherwise use University property.

MAJOR RESPONSIBILITIES:
  • Serve as central point of contact for rental housing matters, maintaining good communication and relationships with all stakeholders including administration, faculty, staff, property owners, tenants, landlords, government officials, other Facilities, Real Estate and Auxiliary Services (FREAS) departments, units and management levels.
  • Manage the Rental Housing Program with a goal of maintaining 100% occupancy.
  • Maintain rental houses to make them most appealing to prospective tenants and to enhance their value as University real estate assets.
  • Provide information on rental housing program to incoming faculty and staff who are potential tenants.
  • Manage housing waiting list through coordination with Provost's Office and other academic and administrative units.
  • Work with potential tenants by conducting house tours, identifying housing best suited to their needs and providing pertinent University and local information.
  • Conduct inspections with the City of Newark Building Department to ensure compliance with building codes and safety regulations.
  • Independently inspect houses between tenants to evaluate the need for repairs, renovations and/or improvements. Coordinate needed repairs and improvements in order to ensure most efficient transition between tenants to maximize occupancy.
  • Schedule and oversee all maintenance of the rental houses to ensure work is completed timely and within budget.
  • Work with the Manager, Financial Services for all financial aspects of the Real Estate Office and Rental Housing program.
  • Administer University leases including executing renewals, calculating rental increases, initiating lease payments and invoices, following up on overdue accounts, monitoring certificates of insurance, and initiating appropriate action to remedy defaults.
  • Verifies that the requirements and terms of leases support the goals and objectives of the University.
  • Coordinate with the Manager, Financial Services to prepare and review analysis to include reports related to maintenance, operations, capital and other real estate expenses; reconcile Real Estate and Rental Housing accounts, renovation expenses, capital reserves, major renovation reserves and mortgages totaling over $3 million annually.
  • Prepare financial analytics, feasibility studies, project impact analyses, and proposes alternative scenarios, if needed, for real estate projects.
  • Continually assess UD campus and external market factors that influence potential shifts in UD's real estate portfolio on both landlord and tenant side.
  • Coordinate real estate document flow and maintain property management and lease administration databases.
  • Verify accuracy of all city and county property tax bills and pay accordingly. Request tax exemptions and refunds as necessary.
  • Develop and recommend revisions and improvements to department guidelines and procedures.
  • Perform miscellaneous job-related duties as assigned-.

QUALIFICATIONS
  • Bachelor's degree, with a minimum of two-three years' job related experience, or equivalent combination of education and/or experience.
  • Experience with asset planning and managing operating budgets for large scale asset projects and/or units.
  • Experience with commercial real estate practices and law, lease contract development and interpretation, application of principles of real estate leasing, licensing, purchase and sale, and ground leasing and finance.
  • Experience developing sophisticated financial models
  • Experience in real estate management and/or lease administration.
  • Property and Lease performance management skills.
  • Ability to foster a cooperative work environment.
  • Effective communication (verbally and in written format) skills.
  • Ability to work effectively with a wide range of constituencies in a diverse community.

SPECIAL REQUIREMENTS:
  • Valid driver's license and regular access to private, reliable means of transportation in order to maneuver throughout the Newark campus and other UD locations when operationally necessary.
