Scheduling and Event Coordinator

Job Summary
The Scheduling and Event Coordinator is responsible for the year-round coordination of space requests and reserving facilities for purposes other than academic classes, such as student events, lectures, meetings, conferences and events, and summer programs using the College's centralized scheduling software. The Coordinator must schedule space and events so they don't conflict with intended audiences and /or over-extend the College's resources (e.g. Dining Services, Media Services, Facilities, Campus Safety, etc.). The Coordinator communicates and enforces policies regarding use of space.

The Scheduling and Event Coordinator is responsible for the daily management of the scheduling and calendar system. The Coordinator trains staff, students, faculty and space managers on the use of the College's scheduling system. The Coordinator schedules regular updates to the system, updates and configures the system to keep up with changes and additions to space and resources on campus, and is the point of contact for troubleshooting any questions or concerns with the use of the system. Travel to and attendance at an annual user's conference is required to stay current on best practices and system releases.

The Scheduling Coordinator is responsible for maintaining the College's Master Calendar system, approving requests, collecting and formatting event descriptions, images, and other relevant event details while maintaining a consistent professional final product that represents the College's events appropriately.

During the academic year, acts as an Event Coordinator and is the point of contact to external organizations coordinating meetings, conferences and events to be held on the Skidmore campus. Responsibilities include responding to inquiries, providing estimates, creating contracts, verifying insurance certificates, acting as liaison with Catering, Media Services, Facilities, and other service providers to ensure a successful event. During the summer months, the coordinator is part of a busy team of conference and event coordinators responsible for implementing a heavy load of summer conference and event logistics.

The Scheduling and Event Coordinator is part of the operations team which supports the overall work of the Office of the Dean of Special Programs and reports to the Managing Director of Operations and Conferences.

Minimum Qualifications
Conference and event planning experience is required in order to represent Skidmore professionally to external audiences visiting campus. The position requires strong technical skills and proven ability to learn new systems. Excellent customer service and relationship management is necessary to be successful in the position. Attention to detail is a must.

Preferred Qualifications
Experience in an academic or hospitality setting is preferred. Knowledge of EMS or other scheduling system is preferred. Conference management software experience is a plus.
