Coordinator of Operations

Position Summary:
Reporting to the Chief of Staff to the Vice President for Finance and CFO , the Coordinator of Operations provides exceptional planning, management, and coordination of multiple ongoing and ad-hoc activities and projects in the office of the Vice President for Finance. The Coordinator of Operations is responsible for the management, tracking, and follow-up of documents and projects relating to university financial policies and provides administrative support in the coordination and management of materials and activities for the Finance and Resource Management Committee of the Board of Visitors. This position also provides assistance with the VP for Finance strategic initiatives such as those associated with the Inclusion and Diversity strategic plan and assists with other special projects as needed. Uses excellent judgement and decision making skills to ensure the integrity and professionalism for an executive office. Works on project teams in developing, researching, and establishing new processes or recommending process improvements. Coordinates departmental communication and dissemination of information. Works independently to carry out the daily functions of the office including answering phones, office organization, managing internal and external events and meeting logistics, managing/scheduling the office conference room, and scheduling meetings. This position also acts as backup for financial functions such as HokieMart, travel, human resources, and others as appropriate and acts as backup to the Executive Assistant to the Vice President for Finance and CFO as needed.

Required Qualifications:
- Bachelor's degree or equivalent training and/or administrative experience.
- Proficiency in general computer skills and Microsoft applications such as Outlook, Word, Excel and PowerPoint.
- Excellent communication, organizational, and interpersonal skills and ability to work under pressure and maintain a pleasant demeanor, exercise good judgement and present a professional image in all situations.
- Strong proof reading skills with ability to prepare documentation in a professional and timely manner, and interpret and apply policies and procedures.
- Demonstrated ability to work with confidential and sensitive material and information, treating all business of the VP for Finance Office as confidential.
- Ability to work independently and in a team environment, to handle multiple tasks simultaneously and be flexible when the situation demands shifting priorities.

Preferred Qualifications:
- Experience in providing executive level administrative coordination in a large business/organizational or academic setting.
- Experience interacting with business partners, management, clients and affiliates.
- Experience in project management to ensure quality completion of assignments.
- Considerable knowledge of university organizational structure, policies and procedures.
- Experience in public relations, special events or similar background demonstrating an ability to develop highly effective communications to critical external entities.
