Administrative Assistant

Title Position Reports To: Adelphi PAC Executive Director
JOB SUMMARY:
The Administrative Assistant to the Executive Director of the Performing Arts Center is responsible for administering and coordinating the activities of the office of the Executive Director.
RESPONSIBILITIES & DUTIES:
Provide operational support for the office of the Executive Director by answering phones, handling correspondence, scheduling meetings, managing calendar, arranging travel, reconciling office expenses, maintaining files and general office support as needed.
Assist with the proofing process for all promotional and other public materials both print and electronic created by the Adelphi PAC.
Maintain and update the Adelphi PAC website in coordination with the University Web Team.
Monitor "generic" Adelphi PAC public contact points (phone, voice mail, email, etc.) and forward messages to the proper department (when necessary) for response.
Order supplies as needed for Adelphi PAC administrative operations.
Coordinate travel and lodging needs of guest artists as necessary.
Assist other Adelphi PAC operational activities as needed (room scheduling, project tracking, ordering and reimbursements, etc.).
Assist with data collection and analysis projects and reporting for the Executive Director.
Schedule and document (via minutes) Adelphi PAC staff meetings and other meetings as necessary.
Other duties as assigned by the Executive Director, Adelphi PAC.
REQUIREMENTS:
Excellent writing, interpersonal and organizational skills.
Administrative experience with the Microsoft Office suite. Familiarity with various computer systems with ability and interest in additional learning for specialized software systems.
Strong organizational skills, attention to detail and ability to prioritize workload and track multiple projects to completion on fixed deadlines.
Ability to work effectively in a culturally diverse environment.
Occasional evening and weekend work may be required for various events.
PHYSICAL REQUIREMENTS:
Ability to effectively move about the office and building. Occasional light lifting.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:
Minimum of three years office experience, preferably in a higher education and/or arts environment.
HOURS:
Monday - Friday 8:30 - 4:30
