Academic Ops Sppt Project Coordinator

GENERAL SUMMARY:
Qualified individual will be responsible for coordinating daily operations and managing workflow of assigned team and Academic Operations Support projects and supporting University Continuing Education programs across Colleges.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Management Functions:
  • Directly supervise a team of Academic Operations Support Assistants.
  • Conduct annual performance evaluations and address ongoing performance issues as needed.
  • Evaluate and assign workflow on a daily basis.
  • Determine Process and Project Timeline for Walden University projects as assigned.
  • Manage daily performance of AOS processes and procedures.
  • Assist with interviewing and hiring new AOS Assistants and/or specialists. Mentor and train new AOS team members.
  • Assist with development, documentation, and promotion of new policies and procedures.


Project Coordinator Functions:
  • Oversee the University Continuing Education programs.
  • Attend University meetings to be informed of educational activities being planned across the University.
  • Keep Continuing Education database updated each month with current presentations. Assist with uploading and maintaining database of records in the CE system.
  • Maintain the professional development library. Add in new education programs including webinars, live and enduring material events and publish on CE site.
  • Create the educational program for National Faculty Meeting evaluations and certificates.
  • Provide reporting of CE activities to University Leaders.
  • Communicate upcoming Continuing Education opportunities to faculty and Academic Leaders.
  • Partner with CFE and College Leadership to create materials and host training webinars as requested.
  • Collaborate with Field Experience offices to provide continuing education for field site supervisors.

General Duties:
  • Oversee the support of the Academic Center - Supporting logistics, create agendas, and take notes for Center meetings.
  • Oversee management of center role accounts.
  • Liaison with departments for Center specific requests for reporting and tracking documents.
  • Manage and coordinate logistics of site visits for center meetings and site visits.
  • Provide planning and onsite support for National Faculty Meeting.
  • Coordinate and track all technology materials for faculty and academic leaders.
  • Update all Catalog and website changes within the internal website regarding faculty and leadership.
  • Facilitate the creation and updating of new documents with the AOS and college Sharepoints.

Faculty Payroll:
  • Manage System Approvals in FACPAY for all Center Contributing Faculty Payments.
  • Manage payroll audit and submissions for Centers.
  • Investigate Center payroll errors and find solutions.
  • Compile and distribute final monthly payroll approvals to Center Executive Director or designee.

Course Scheduling
  • Communicate with Registrar and other appropriate departments about course sections and upcoming terms.
  • Manage Course Build, Course Scheduling, and faculty assignment process.
  • Manage Enrollment Tracking and Reports for Leadership and Walden Initiatives.
  • Facilitate setting and tracking of course caps with Center Leadership.
  • Coordinate and track faculty assignments (instructor, lead faculty, and senior colleague)

OTHER DUTIES AND RESPONSIBILITIES May perform other duties and responsibilities that management may deem necessary from time to time.

External Requirements
TECHNICAL, MANAGERIAL, and PEOPLE SKILLS REQUIRED

EDUCATION and/or EXPERIENCE:
  • Bachelor's Degree required. Masters preferred.
  • Candidates must have at least 3 years of Administrative experience. 1-3 years of management experience preferred. Must have experience with coordinating continuing education programs.
  • Candidate must possess strong MS Word, Excel and Power Point skills as well as excellent verbal and written communication skills.
  • Must have knowledge of continuing education regulatory and licensure issues.
