Job Description
Provides administrative and operational support to the Small Business Development Center ( SBDC ). Serves as first point of contact to inquiries and provides records management support concerning confidentiality of staff and client information. Interacts in a professional manner with staff, faculty, students, and the community in a service-oriented environment.

Required Qualifications
High school diploma or equivalent.
Five years of administrative support, customer service, or general office management experience.
Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, PowerPoint, and Outlook).

Preferred Qualifications
Bachelor's degree from an accredited institution in an appropriate area of specialization.
Experience with grants, contracts, or small business administration.
Experience using Touchnet and Banner Finance.
Experience tracking multiple budgets.
Experience with fund accounting and spreadsheets.
Proficiency in Spanish, French, or Creole.

•Knowledge of and ability to operate a computer with proficiency in Microsoft Office suite.
•Skill in general office procedures, professional correspondence, and maintaining files and electronic database.

Salary Range
$15.33 - $16.28 hourly ($32,000 - $34,000 Annually)

Job Duties

Essential Job Duties
•Assists the Small Business Development Center clients with general questions, consulting requests, registering for workshops or training events.
•Prepares reports, business letters, and general correspondence. Coordinates and assists with departmental mailings. Maintains accurate paper and electronic files.
•Maintains budget, tracks and reconciles expenses, prepares documents and invoices for grant funds, and assist with annual budget forecast.
•Maintains purchase card transactions, reconciliation, and prepares records for audits. Maintains PCI compliance when receiving cash, checks, and credit card payments.
•Coordinates department payroll processes. Reviews leave reports and payroll reports for accuracy.
•Creates multiple publications including brochures, flyers, announcements, invitations, bulletins, newsletters, and handbooks.
•Coordinates travel arrangements (books hotel rooms, airline flights and car rentals); prepares paperwork for travel including travel authorization requests and reimbursements forms.
•Maintains appointment calendar, schedules meetings, workshops, and assists with department events. Attends staff meetings; takes notes and distributes meeting minutes.
•Assists with FSBDC CRM database (Center IC), entering data and compiling/ extracting data for metrics and reports.
•Performs routine updates to department website, posting to Facebook and other social media sites, distributes emails and event invitations using electronic methods and assists marketing staff with event set up.
