Administrative Support Coordinator - Budget

PURPOSE OF THE POSITION: 

Under the direction of the ASI Executive Director, provide budget assistance and support to the office of the Associate Students Incorporated, the Student Union, the four ASI entities (Student Government, Student Programming Board, The CI View student newspaper, and The Nautical yearbook), and CSUCI registered student organizations. Provide administrative support to the ASI Board Budget Allocation and Spending Committee throughout the budget request process.
 

RESPONSIBILITIES & DUTIES: 

General Budget Assistance

Coordinate a variety of moderate to complex financial and administrative support functions for the Associated Students Incorporated (ASI), the Student Union, the four ASI entities, and CSUCI registered student organizations.

 

Provide budget assistance, budget monitoring, budget support, payment processing, and follow through to ASI professional staff, the four ASI entities, and CSUCI registered student organizations.

 

Responsible for completing or assuring completion of ASI documents and paperwork including, but not limited to, human resources, budget, accounting, procurement, and facilities services forms.

 

Review all budget requests and expenditures to assure compliance with appropriate ASI, CSUCI, and CSU policies and communicate changes needed in requests made to ASI for budget funding or expenditures to students and staff.

 

Student Organizations

Act as a liaison between ASI and Student Organizations and Involvement to ensure consistency and accuracy in student organization funding processes and to assure required student organization funding forms are completed prior to registration.

 

Provide budget training, ongoing budget support, and expenditure assistance to CI’s registered student organizations.

 

Assist in assuring student organization funding processes comply with appropriate ASI, CSUCI, and CSU policies.

 

Web-Based Software Assistance

Review ASI budget expenditures on a regular basis in CI Financials (a PeopleSoft by Oracle, web-based program) – identify anomalies and resolve them with the CI Accounting office. Seek additional support through escalation ASI and Accounting staff as needed.

 

Input all ASI budgets into Hyperion software. Update as needed.

 

ASI Board

Coordinate activities related to the ASI financials for the Board of Directors, including participation in monthly budget review meetings with the ASI Treasurer and representative(s) from CI’s Business and Finance Division (BFA) and assure that Board members receive financial updates no less than one week in advance of board meetings, disseminating documents for Board review.

 

Act as the support staff to the ASI Vice Chair/Budget Allocation and Spending Committee (BASC) Chair during the ASI budget allocation process.

 

Coordinate BASC (Budget, Allocation, and Spending Committee) meetings, minutes, and agendas, seeking to assure full participation of the Committee in each meeting.

 

Assist student organizations, ASI entities, and other campus organizations requesting funding with the development of the budget for the fiscal school year, as needed.

 

Supervision

Supervise ASI/Student Union student employees.

 

Additional Duties

Responsible for ensuring a positive, welcoming, student-centered, and user-friendly work environment and experience for all students, staff, faculty and visiting patrons.

 

Participate with other professional staff in the selection, training and oversight of student assistants.

 

Perform additional related duties as assigned.

REQUIREMENTS OF POSITION: 

Education/Professional Experience

The candidate must have the equivalent of two years of moderate to complex office clerical work and/or budget experience that indicates progressively responsible experience including collection, evaluation, and synthesis of information. A bachelor's degree may be substituted for directly related office and/or budget experience that demonstrates the ability to work within an environment supporting multiple constituents.

 

Professional Experience, Knowledge and Skills

At least one year of experience in higher education preferred.   

 

One or more years’ experience developing, reviewing, and processing budget and expenditures is preferred.

 

Basic knowledge of applicable university infrastructure, policies and procedures. 

 

With consistent accuracy, the successful candidate must possess the ability to develop, read, understand, and convey moderate to complex budget information using Microsoft Excel.

 

The candidate must be fluent with office technology and frequently used software (e.g. MS Word, Outlook and MS Excel) and must be highly accurate in data entry and maintenance.

 

Ability to quickly learn and use new office support technology systems and software packages.

 

Outstanding written and oral communication skills as well as the ability to demonstrate positive customer service are required.

 

Exceptional organizational and time management skills.

 

Must be able to effectively communicate with a diverse population of students, faculty, staff and community and ability to maintain a flexible collaborative manner.

 

Ability to respond to routine inquiries and explain standard policies and procedures to others.

 

Must have the ability to work independently and be able to take initiative in the performance of a variety of tasks. 

 

Ability to analyze operational and procedural problems and develop, recommend and evaluate proposed solutions.

This is a position for employment with Associated Students Inc. (ASI). This is not a position for State employment with CSU Channel Islands (CI). For funding purposes, this position will be hired by the University Auxiliary Services (UAS), an auxiliary corporation of CI. UAS has been designated the one auxiliary which will provide payroll and benefits to the other auxiliary corporations at CI. While the incumbent of this position will be considered a UAS employee for payroll and benefits purposes, the incumbent will be an ASI employee. 

The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
