Overview

The Office of the Vice Provost of International Affairs and Operations Office seeks an International Travel and Safety professional to provide strategic and operational leadership on matters of health, safety and security overseas. The incumbent will work closely with campus stakeholders to lead the development and administration of policies, procedures and activities associated with the health, safety, welfare and preparedness of students, faculty and staff traveling abroad on Princeton University sponsored travel and activities. S/he will also develop and enhance travel safety preparedness programs and serve as a planning and response resource for students, faculty, staff and administrators on matters of travel safety and security.

Princeton University has made tremendous strides in internationalizing its research and teaching mission over the past decade. The University has sought innovative ways to internationalize Princeton and has placed increasing emphasis on certain aspects of internationalization: study and internships abroad for undergraduates, curricular initiatives that give heightened emphasis to international and comparative perspectives, new research opportunities abroad and the creation of global scholarly networks for faculty members and graduate students, and support for collaboration with scholars and universities around the world.

As a result, there has been a significant increase in both number and complexity of international activities at Princeton. Internationalization figures prominently in the recent strategic planning framework, which calls for growing the University's international programs and increasing PU's scholarly strength in the study of key regions and cultures. Given the current and anticipated levels of international activity, the University seeks to bolster the planning and support of such activities in ways that ensure health and safety, compliance, and quality of experience.

Responsibilities

Policy, Practice and Administration
  • Develop and maintain health and safety standards, policies, practices and guidelines for programs, research activities and individual travelers
  • Develop and maintain emergency preparedness and response plan
  • Lead the implementation of health and safety best practices across University programs and activities, through active buy-in and consensus building among stakeholders
  • Stay abreast of emerging trends, world events, travel alerts and warnings in areas where the University has presence and/or interests to analyze and evaluate the associated risks
  • Oversee travel registration system; ensure compliance by students and administrators; evaluate user experience; promote and manage enhancements/improvements
  • Manage the travel exemption request process
  • Review and evaluate health, safety and security policies and practices of individual programs to ensure compliance on an ongoing basis
  • Collaborate with other Offices to implement administrative procedures related to student, faculty and staff health and safety
  • Build and maintain productive alliances with stakeholders (e.g., government, service providers) to ensure that the University has the necessary capabilities to respond quickly and effectively to emergencies



Emergency Management
  • Serve as first responder to all emergencies or perceived emergencies abroad.
  • Responsibilities include “on-call duties” beyond regular work hours and heavy volume or inquiries and response in the run-up to and during times of heavy travel (such as spring and summer breaks).
  • Coordinate with the relevant stakeholders on execution of emergency response and contingency plans in the event of an emergency
  • Provide support to affected student or staff member and their families in the event of an emergency
  • Develop and manage alerts for significant events in areas where the University has presence and/or interests
  • Create and maintain systems for reporting incident reports


Advising and Outreach
  • Provide expert advice on global health, safety and security to University leadership, committees, faculty, staff and students
  • Develop and implement outreach and training programs for students, faculty and staff involved in study and research abroad programs
  • Travel, as necessary, to conduct site visits or make safety assessments in locales with Princeton programming.
  • Develop and manage communications relating to health and safety issues
  • Serve as primary liaison to partners (e.g., International SOS) and governmental organizations (e.g., U.S. State Department) on health and safety issues


Qualifications

  • Bachelor's degree; Masters degree (or higher) a plus
  • At least 5 years of related or equivalent experience in a relevant higher education setting working with faculty and senior management (e.g., study abroad, program design, program management, emergency coordination, international travel and security, campus crisis management or risk management).
  • Experience with insurance, medical evacuation or disaster preparedness a plus.
  • Has strong consultative management skills, coupled with strong listening skills
  • Is well-organized, composed under pressure and in crisis situations
  • Proven ability to support stakeholders in crisis situations to make sound decisions
  • Able to exercise professional judgment in situations for which there are no established criteria to problem solve.
  • Able to handle sensitive and confidential matters with discretion.
  • Strong sense of personal responsibility and able to build and maintain trusting relationships with diverse stakeholders, including students, faculty and administrative constituencies
  • Demonstrates ability to communicate clearly, effectively, and persuasively
  • Experience in project management and able to work on multiple projects with tight deadlines
  • Proficient in a foreign language
