Registrar Officer, Excess Hours

Job Description
The Registrar Officer, Excess Hours supports the Registrar's Office to ensure university compliance with Florida Statute 1009.286. Monitors and tracks baccalaureate student records in regards to the Excess Hours Surcharge. Assists students and staff with questions related to excess hours.

Required Qualifications
High school diploma or equivalent.
Five years of experience with records management in an environment such as registration, admissions, or related area.
Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Access and Outlook) and data entry.

Preferred Qualifications
Bachelor's degree from an accredited institution in an appropriate area of specialization.
One year of experience serving students in a registration related area at an institute of higher learning.
Experience with Ellucian Banner, Cognos, or DegreeWorks software systems.

Knowledge, Skills & Abilities
Knowledge of FERPA and state laws regarding excess student hours.
Knowledge of or ability to learn Ellucian Banner and DegreeWorks software.
Excellent interpersonal, oral and written communication skills.
Skill in completing assignments accurately and with attention to detail.
Ability to interact in a professional manner with a diverse group of staff, faculty, students, and the community in a service-oriented environment.
Ability to work successfully as both a member of a team and independently with minimal supervision.
Ability to think critically and make clear, well-reasoned and timely decisions.
Ability to take initiative to plan, organize, coordinate and perform work in various situations when numerous and diverse demands are involved.
Ability to routinely and independently implement procedures to accomplish office and university goals according to university policy and state and federal regulations.

Salary Range
$15.33 - $16.28 hourly ($32,000 - $34,000 Annually)

Job Duties

Essential Job Duties
•Monitors excess hours of baccalaureate students. Enters data into Banner, spreadsheets and other systems as appropriate.
•Prepares and reviews degree audits for incoming students to establish base line degree hour counts.
•Advises students, academic advisors and the Bursar's Office when excess hours are nearing or have exceeded the threshold.
•Maintains records of students requiring academic advisor review. Prepares files and materials for said reviews.
•Assists Excess Hours Coordinator to trouble-shoot issues with the Bursar's Office, academic advisors, and other individuals within the university that deal with excess hours students.
•Assists students and the university community by explaining excess hours guidelines, Florida requirements, and the process to petition for exception.
•Keeps abreast of Florida statutes and regulations, university rules, and guidelines as related to excess hours.
•Conducts regular audits to verify the accuracy of student records and compliance with excess hours guidelines.

Other Job Duties

Other Duties
•Assists with the input of semester class schedules, final exams days and times, other scheduling and course catalog updates, and quantity control functions as needed.
•Assists with the Fall, Spring and Summer Commencement.
•Performs other job-related duties as assigned.
