Supervision is received from the Director, Financial Aid.
Supervision Exercised: Direct supervision is exercised over student workers. Functional supervision may be exercised over some non-exempt staff.

Job Summary
Under the direction of the Director of Financial Aid, perform highly specialized functions involving computerized financial aid records and overall coordination of the technical information systems for the Financial Aid Department to provide timely federal and state financial awards and funds to applicants. Incorporate all aspects of administration, reporting, and reconciliation for the various financial aid programs. Collaborate with internal departments and external agencies on the operation of the automated financial systems and for developing efficient procedures. Using the Colleague system, import financial aid student applications and generate letters to students using the Communication Management Module.  Oversee the correction process to student financial aid files by ensuring that corrections are sent and received back accurately and routed to the appropriate queue in the imaging system.

Essential Duties and Responsibilities include the following.  Related duties may be assigned.

  • Responsible for directing workflow, determining financial aid eligibility, and in the delivery of aid
  • Perform technical duties related to departmental computer systems; implement, test, and debug program changes; assist in determining packaging parameters; manage electronic exchange, and maintain internal technical programs
  • Maintain correction queues in the imaging system, evaluate corrected files for accuracy
  • Manage the operation of the data management system within the Financial Aid Department including leading upgrades and development to computer systems and managing the Financial Aid portion of the imaging system
  • Assist the Director of Financial Aid with tracking, verification, packaging, disbursement of aid, and evaluations of Financial Aid staff
  • Plan, develop, administer, and oversee the operation of all computer systems within the department
  • Principle liaison with IT Departments, ED, ISAC, and other agencies as well as internal offices as it relates to computer systems and interfaces to maintain the system requirements needed for federal and state aid processing
  • Use knowledge of Colleague rules and federal/state regulations to troubleshoot importing corrections and Communication Management
  • Responsible for quality assurance and ongoing internal review of ED compliance including supervising and assisting with internal and external audits as they relate to the Financial Aid Office.
  • Responsible for the annual set up of all Financial Aid modules and systems in Colleague; implementing testing and troubleshooting  procedures, and ensuring data integrity and the accuracy of the financial aid delivery system
  • Assist with maintaining office policies and procedures manual and assist the Director in the review and establishment of policies and procedures as requested, including regular maintenance
  • Interpret and communicate federal, state and institutional policies, regulations and procedures as it relates to student financial aid and RVC.
  • Review and advise Director on effectiveness of communication to students with particular emphasis on the forms being sent from the financial aid office and coordinate the revision of forms each academic year including maintaining the communication management process
  • Maintain confidentiality of student records according to FERPA regulations
  • Prepare and maintain all records, files, and reports related to financial aid activities; compile and maintain statistical data for inclusion in state and federal reports. Responsible for electronic submission of reports as needed
  • Attend appropriate conferences, seminars and workshops as budgeting allows
  • Responsible for collaborating with ISAC, ED, and internal RVC offices in the reconciliation of Financial Aid programs
  • Develop training material for staff on computer system updates as well as federal and state regulations
  • Responsible for compliance with Return of Title IV funds regulations
  • Regular attendance is expected
  • Using tact and courtesy, the ability to establish and maintain effective relationships with persons contacted in the course of work
  • Other related duties as assigned

Minimum Qualifications
Bachelor degree required. Preference given to those with two(2) or more years of technical experience with Colleague.  Previous, progressive, in-depth experience working in Financial Aid.  Ability to work effectively with students, parents, faculty and staff.  Strong commitment to student success.  Knowledge of computer information systems including automated financial aid higher education management systems, Demonstrated strengths in the areas of detail, organization, and problem-solving.  Ability to work independently or in a team.  Strong organizational, problem-solving, and time management skills.  Strong analytical skills.  A working understanding of relational database systems.  Must be computer literate and have skills in Excel and Word.  Previous experience with Colleague or other educational database software preferred.  Must enjoy the challenges of a fast paced office where multi-tasking and change are essential.
