General Description:

This position provides senior-level administrative support to the Vice President for Student Affairs. The incumbent serves as an integral part of the Student Affairs Senior Management team. This position works closely with all entities of the Division of Student Affairs and other University areas to ensure best practices are utilized in divisional development. This position must be able to articulate concerns of varying nature to the Vice President. The Incumbent also works closely with the Senior Associate VP for Student Affairs, the Dean of Students, the Student Affairs Senior Management team, the Office of the President, the Office of the EVP & COO, Business Affairs and other departments as necessary.

Responsibilities:
  • Oversees the coordination and preparation of various materials and projects of the Division for senior-level meetings including:
    • Board of Trustees
    • President' s Cabinet
    • Administrative Council of the Chief Operating Officer
  • Identifies and adheres to appropriate internal controls for department and reporting structure; provides mechanism to monitor and enforce compliance.
  • Manage special projects as directed by the Vice President including the planning, research, implementation, review and follow-up.
  • Serves as the central point of coordination for strategic planning, policy development, financial management, and assessment initiatives for the Division.
  • Participates in the Division's strategic planning ensuring that developed goals align with the University's organizations goals and contribute toward growth & enhancement of services.
  • Provide budget support and oversight for the Division including:
    • Work with the VP for Student Affairs and Business Affairs to identify, develop and implement operational business plans, monitor key metrics and assist in the decision making of the division.
    • Develops and manages all aspects of the division's budget including preparation, audits and reporting.
    • Designated as alternate Budget Administrator for Student Affairs.
    • Monitor approximately 21 division budgets; flagging irregularities and concerns as they develop.
    • Oversee the Vice President's office budget.
    • Assist with the annual preparation of a new budgets.
    • Report monthly budget status variances and annual budget development for operational and capital projects.
    • Transfer funds between divisions' organizations, as needed.
  • Develops solutions to improve current business processes and make them more efficient. Establishes and maintains effective internal controls for finance, human resources and grants administration.
  • Identifies and seizes opportunities to improve fiscal and operations performance of the Division.
  • Promotes a culture of "Service Excellence" throughout the department.
  • Sets a tone of leadership that is people-centered, collaborative and focuses on data based decision making.
  • Builds a management culture based on team work, open communication, prudent risk taking, innovation, mentoring and accountability.
  • Collaborate with the various functional areas on campus to address issues of mutual concern across the disciplines.
  • Research and analyze leading practices at external institutions to assist in benchmarking.
  • Provide data, reports, analyses and confidential advice to the Vice President.
  • Review and edit materials prepared by the Vice President.
  • Act as a liaison to campus and community constituents on issues that may be sensitive in nature.
  • Attend various campus committee meetings.
  • Work on special projects as assigned.


Qualifications:
  • Must hold a bachelor's degree and have a minimum of five to seven years experience in an academic administrative position with increasing responsibilities.
  • Excellent financial management, analysis, and projection skills; mastery of financial software programs and ability to learn new programs as required.
  • Superior oral and written communication skills, collaborative ability, creative and analytical thinking skills are essential.
  • Knowledge of Banner and Microsoft Office (Word, Excel, PowerPoint, and Outlook) is required.
  • Must be student-centered and demonstrate strong interpersonal skills with a high degree of professionalism and competence in dealing with a variety of individuals including students, parents, faculty, staff, administrators and the community.
  • Ability to analyze/evaluate data and make appropriate decisions/recommendations.
  • Must be able to work independently, take initiative and effectively problem solve.
  • Must be able to multi-task and work efficiently under pressure.
  • Must be enthusiastic and flexible.
  • Must practice with the highest degree of confidentiality, ethical decision-making, and transparency.
