Overview

**Position is full time for 11 months**

The Orientation Program Coordinator will support Princeton University's Freshman Orientation program, an eleven day program, involving approximately 1,325 incoming first-year students and 450 upperclass student leaders in collaboration with other campus constituents. This position will provide administrative and logistics support for the overall Orientation program, as well as for the Community Action (CA) and Outdoor Action (OA) programs that are currently embedded in this experience. This position will work with the assistant dean for student programs and the Department of Athletics to develop an on-campus Orientation program for first year Fall sport student-athletes. Responsibilities of the program coordinator will fall primarily within the areas of coordination and logistics, student and community development, information management, communication, assessment, and event planning. The program coordinator has a dotted line relationship to the manager for administration in ODUS with respect to University and department financial and personnel policies.

Responsibilities



Coordination and logistics
  • Assist in the development of Orientation metrics and the creation of a comprehensive Orientation calendar
  • Work with the Office of the Dean of the College to develop Orientation program calendar for Path to Princeton website
  • Assist in articulating the curricular goals and vision of Orientation program to campus partners
  • Communicate with and manage inquiries from campus departments
  • In coordination with the assistant dean for student programs, plan and staff all social and core Orientation events
  • Work with University departments to reserve spaces on campus for events, complete requests and submit required forms


Student leadership, training and community development
  • Identify training needs and resources with Community Action and Outdoor Action student leadership and their staff advisors, as well as campus and community partners
  • Develop and facilitate training for 50+ Orientation and student-athlete leaders around curriculum development
  • Coordinate Orientation and athlete-leader, CA and OA programs' training schedules and venues
  • Develop leader resource guide
  • Recruit and advise appointed undergraduate students on student orientation committee to develop welcome week activities for freshmen class
  • Work with Department of Athletics to identify student-athlete leaders to facilitate on-campus athlete experience



Information management
  • Develop and oversee Orientation registration system for incoming students
  • Develop and manage a database containing participant information including contact, emergency contact, health and interests
  • Develop system to match students with CA and OA programs and then with trip and/or service sites



Communications
  • Maintain Orientation website with ongoing updates
  • Manage inquiries about Orientation from incoming or perspective students
  • Develop and institute social media marketing plan to communicate with incoming class about upcoming extracurricular activities and Princeton traditions



Administrative Oversight
  • Assist the assistant dean for student programs to develop and oversee Orientation budget
  • Provide budget reports, monitor expenses, and reconcile accounts in coordination with department manager
  • Purchase supplies and program items and process financial transactions including reimbursements, vouchers, vendor payments, etc.
  • Participate in and support departmental, divisional, and institutional projetcs, committees, and initiatives



Assessment
  • Ensure all participants of Orientation activities including freshmen, student leadership, and campus partners have opportunity to provide feedback through surveys and focus groups
  • Write report on findings to be submitted to assistant dean for student programs


Qualifications

Education and Experience Requirements
  • Minimum of a Bachelor's degree, with 1-3 years of experience working with undergraduates
  • Experience working with community-focused programs and/or student-focused programs, a plus
  • Experience in administrative and logistical support of a program or unit
  • Experience in training
  • Ability to develop and maintain relationships and work collaboratively with a variety of stakeholders, ranging from undergraduate students and their families, to community partners representing a wide range of needs, to University staff and senior administration
  • Ability to work with, and as appropriate, supervise student leaders, student volunteers, student staff
  • Strong organizational skills, with the ability to manage multiple projects and tasks at the same time
  • Excellent judgment and a high degree of discretion in handling sensitive matters
  • Excellent verbal and writing skills



Preferred Experience
  • Experience and working knowledge of information management software and programs
  • Ability to develop websites

Position requires working some evening and weekend hours.

The final candidate will be required to complete a background check successfully.
