Position Summary/Purpose of Position:

The Administrative Coordinator will assist the Office of Special Events Director and Assistant Director(s) with managing the day-to-day complex administrative and organizational activities.

S/he will work with team members to manage event registration data, correspondence and attendee tracking and provide necessary follow up for a portfolio of over 100 high-level annual events. Additional duties include managing calendars and meetings, and budget-related documents and processing. The Administrative Coordinator will also be responsible for inventory of supplies and event materials and prepare event materials. S/he will provide additional support to the office as needed.

The Administrative Coordinator acts as a liaison with internal and external constituents including but not limited to prospective donors, current donors, University Relations staff and the University President's Office. S/he will respond to a high volume of daily inquiries via telephone and email.

Must be able to work nights and weekends as well as must be able to travel locally 10% of the time.

Minimum Qualifications:

Education (include licenses, certifications, etc.):
Bachelor's degree in related field preferred, or an equivalent combination of education and experience.

Experience:
A minimum of 3 years of professional administrative experience.
Experience in a direct customer service environment.
Experience tracking and understanding budgets/budget process.

Knowledge, Skills, and Abilities:
Excellent verbal and written communication skills.
Excellent customer service skills
High attention to detail.
Strong interpersonal skills that will enable him/her to work well with diverse groups of constituents.
Ability to meet tight deadlines and handle multiple responsibilities.
Ability to use independent judgment to make decisions to move projects forward.
Ability to maintain confidentiality.
Ability to work with minimal supervision.
Knowledge and understanding of MS Office software.
Team player.
Strong organizational skills.
Ability to maintain flexibility and adapt quickly to fast-paced environment.
Ability to create and maintain orderly databases and files.

Preferences:

Knowledge and understanding of meeting and event planning principals, requirements, and procedures.
Previous experience in an event planning setting.
Familiarity with Advance or similar donor database.
Familiarity with Kuali Financial System or similar application.
