Senior Administrative Assistant



SENIOR ADMINISTRATIVE ASSISTANT, Office of the Provost, to provide high-level administrative staff support for the assistant provost for research administration and the director of research administration and compliance in the Vice President for Research Office. Will manage busy calendars, scheduling appointments, arranging complex meetings, and independently determining the appropriateness of some meetings; organize and support special events and group/committee meetings; edit reports and correspondence and track correspondence; maintain complex filing systems; advise departments on policy matters and appropriate processing procedures for HR forms, research proposals, and space change requests; independently respond to a variety of complex telephone and in-person inquiries, handling confidential material with tact and discretion; review and reconcile VPR Office accounts; process requisitions, invoices, and travel documents; transfer and draft funds and maintain VPR Office financial files; and assist in the preparation of financial projections and reports and create tables, charts and graphs from raw data.

Job Requirements

REQUIRED: five years of administrative support experience; strong communication and interpersonal skills; strong mathematical ability; familiarity with Macintosh computer systems and software, including experience and proficiency with PowerPoint, Excel, Word, FileMaker Pro, Adobe Pro, and calendaring software. Must be able to work both independently and as part of a team; handle confidential and sensitive matters with tact, discretion, and good judgment; and multitask, set priorities, and meet deadlines in a busy office setting with frequent interruptions. A bachelor's degree and MIT experience are strongly preferred. Knowledge of MIT financial systems highly desirable, e.g., SAP financial and HR, COEUS, NIMBUS, BrioQuery, and Cognos. Job #12196-6
