ADMINISTRATIVE SPECIALIST - CARDIOTHORACIC SURGERY


Position Summary:
The Administrative Specialist manages the administrative and business management of the Division of Cardiothoracic Surgery in the Department of Surgery, with direct responsibility to the Chair of the Division of Cardiothoracic Surgery. The Administrative Specialist functions as a liaison between the Division Chair, department administration, institutional leadership, education and research leaders, and other programs, synthesizing a vast array of information to advise and address issues.

Degree and Area of Specialization:
Bachelor's Degree required; preferably in health care administration, business administration, education or closely related field.

Minimum Years and Type of Relevant Work Experience:
1-3 years experience in an administrative setting assisting a staff member in an executive-level position with strong organizational, technical and leadership skills in the academic and clinical areas of the medical sciences is preferred. Experience working in academic and/or medical setting is preferred. Supervisory experience preferred. Experience managing calendars is preferred. Experience with travel arrangements is preferred.

Demonstrated experience in program development, space and facility management, and medical information system management is preferred. Requires the ability to prepare detailed plans and reports, and the ability to examine and re-engineer operations and procedures through organization structures, policy formulation and application of new procedures.

The ideal candidate will be a self-starter who can function with minimal supervision.

Prefix assignment is determined by years of relevant work experience. A minimum of 7 years' experience is required for appointment at the senior level.

A successful candidate must also possess the following:
Ability to analyze, interpret and synthesize information from a variety of sources and clearly present findings verbally and in writing.

Ability to work independently, take initiative and prioritize effectively to meet deadlines.

Ability to work professionally and collaboratively in a team setting consisting of diverse populations of faculty, staff, residents, fellows and medical students.

Ability to communicate clearly, effectively, and professionally with academic staff both within and outside of the division, as well as with hospital personnel and administrative leadership.

Must be thorough, organized and highly proficient with computers.

Ability to analyze situations to exercise good judgment, confidentiality and discretion in making a wide variety of decisions.
