Program Manager - Academic Support and Wellness, College of Medicine

Essential Function:

The program manager, academic support and wellness, reports to the Assistant Dean for Student Affairs and may be asked to respond to assignments from the Associate Dean for Student Affairs. The program manager for academic support and wellness collaborates with the Assistant Dean and the Learning Specialist to assist students in need of academic support services. The program manager is responsible for managing the daily operation of the peer tutoring program and provides support in planning, organizing and managing all of the activities related to academic support and wellness.

Characteristic Duties :

  1. Administrative :
    1. Coordinate and schedule individual, small and large group meetings
    2. Reserve rooms
    3. Report monthly expenditures using the Concur system
    4. Update academic support and wellness websites


  1. Peer Tutoring Program :
    1. Manage tutor application
    2. Assist students through tutor hire process
    3. Oversight of tutor budget
    4. Select dates/schedule/reserve room for tutor orientation/training
    5. Manage/organize tutor resources (access to LCMS, tutoring Powerpoints)
    6. Monitor tutoring activity weekly
    7. Send tutors weekly "tutor stats" emails
    8. Act as liaison to UC Human Resources office for management of student workers
    9. Check compliance of tutors in Success Factors
    10. Prepare various reports summarizing budgetary spending/utilization/satisfaction


  1. Pro-Tips Sessions :
    1. Schedule dates/reserve rooms
    2. Recruit panelists
    3. Arrange for video recording/ mics/ tables/chairs
    4. Send notifications to class
    5. Post recording when available


  1. Peer Study Groups :
    1. Monitor requests and assign groups
    2. Maintain excel report of group assignments


  1. Student Led Board Review Course :
    1. Assist course directors as needed
    2. Assist student teachers with room reservations


  1. GHHS :
    1. Schedule selection committee meeting, reserve room and order lunch
    2. Assist with review/organization of GHHS applications
    3. Interim and Final Reports to Gold Foundation as needed
    4. Coordinate with Dean's Office, Public Relations office and IT office
    5. Send out call for nominations for faculty Tow applicants (Deans List and faculty listserv)


  1. Medical Student Ceremonies:
    1. White Coat Ceremony
    2. Student Clinician Ceremony
    3. GHHS Induction and Recognition Ceremony
    4. Manage announcements/invitations, venue contracts, catering, speakers, tickets and overall coordination/management of the events


  1. Student Interest Groups:
    1. Student Wellness Committee
    2. Research and Service Symposium Committee
    3. Assist with scheduling committee meetings, reserving rooms, assist with setting agendas, assist with event planning/implementation


  1. Wellness Programs:
    1. Assist with the planning and implementation of wellness programs such as Mindful Moments, Student Social Hours, Auricular Acupuncture, Aromatherapy, yoga and the wellness resource room.
  2. Misc .
    1. Other duties as assigned by the Assistant Dean or Associate Dean for Student Affairs.


Minimum Qualifications : Bachelor degree with three (3) years of experience; -OR- Associate degree with five (5) years of experience' -OR- seven (7) years of experience. Experience may require at least on (1) year of supervision

Preferred Qualifications (Minimum Qualifications plus):
  1. Proficiency with Microsoft Office Suite (Word, Excel, Powerpoint)
  2. Proficiency with Google Drive
  3. Proficiency with Social Media
  4. Excellent written and verbal communication skills
  5. Demonstrates evidence of prioritizing tasks, multi-tasking and strong organizational skills
