Business Administrator

PAY GRADE: 30E

CONTEXT OF THE JOB:

Under direct supervision of the College's Financial Analyst II, the Business Administrator I is responsible for managing the daily financial, human resources and administrative operations of the Dean's Office in the College of Health Sciences. These units in total receive approximately $2.9M in yearly budget allocation, $300,000 in research awards and employ approximately 105 personnel which include staff, faculty, undergraduate student workers, graduate assistants, hourly wage and temporary staffing individuals. This position requires independent judgment and discretion as well as the utilization of advanced technical and administrative skills.

MAJOR RESPONSIBILITIES:

• Manages the daily business operations of the units and initiatives within the Dean's Office including Communication, Events, Human Resources, Undergraduate Services, Interprofessional Education, Innovation & Entrepreneurship, Diversity & Inclusion, Healthy Communities, Research Administration and Pipeline.

• Review budget allocations for units and ensures purchases and expenditures are in line with approved financials. Provide monthly reconciliation reports for unit leads and fiscal year projections. Compiles monthly financial projections. Performs audits and reports on unitbudgeted expenditures.

• Process all reimbursement, request for payment to individual, cash transmittals and other procurement related forms. Serve as the centralized purchasing individual for unit expense that require a procurement credit card.

• Purchases and keeps accurate records of equipment for the Dean's Office and related grant activities.

• Coordinates and participates in a variety of human resources activities including recruitment, payrolland workload assignment for student, hourly wage graduate student and staffing agency employees. Responsible for processing faculty supplemental pay as approved by the Dean for administrative activities.

• Complete recruitment and new hire onboarding process for student workers, hourly wage and staff agency employees. Upon contract completion, responsible for processing appropriate termination forms and exit interview checklist.

• Coordinate with the College's Sr. Advisor, Assistant to the Dean and Facilities Manager to ensure Dean's Office Tower floor 7 has adequate staffing coverage.

• Responsible for approving time sheets for both Dean's Office non-benefited employees and staffing agency (J&J Staffing, CareersUSA, RobertHalf) hires using UD Time or other required methods.

• Independently resolves administrative procedural problems and recommendations to unit leads and performs a broad range of administrative duties of a highly confidential nature, requiring initiative and judgment.

• Develop procedures that are compliant with university policies.

• Completes other duties and tasks, as assigned by the Sr. Business Administrator or Business Officer.

QUALIFICATIONS:

• Bachelor's degree; preferably in business, accounting or a related field. One to two years of experience in an administrative capacity or an equivalent combination of education and experience.

• Intermediate computer knowledge and experience required with knowledge of MS Excel preferred

• Experience with SAP Concur or other travel and expense management tools preferred.

• Skill in budget preparation or management of contracts and grants.

• Ability to analyze and interpret data.

• Ability to communicate and interact well with people of all ages and diverse backgrounds.

• Ability to function independently and to use sound judgment, initiative, and discretion.

• Ability to handle multiple tasks simultaneously.
