Minimum Qualifications:

High school diploma or equivalent with minimum three years' clerical or secretarial experience in an educational or business setting.

Preferred Qualifications:

Associates Degree, experience with students in a community college setting, working in a Tennessee Board of Regents institution, working with diverse populations, and familiarity with BANNER and ARGOS systems.

General Function:

The staff member acts as receptionist and secretarial support for the Dean of Students on the Moore County campus. Performs office administrative duties and general to complex clerical duties. May oversee the scheduling and job assignment of temporary or part-time secretarial employees working in the Student Activities & Resource Center (SARC). The secretary is knowledgeable of all aspects of the Student Affairs Division, experience with diverse populations, strong communication skills, excellent customer service skills, time management and demonstration of a student-centered approach.

Major Duties and Responsibilities:

Duties and responsibilities listed are examples of work performed and may be modified as needs of the College may dictate.
  • Responsible for managing the budget, travel, calendar and appointments for the Dean of Students
  • Responsible for students, faculty and staff communications on behalf of the Dean of Students
  • Provide proper information in regard to Student Affairs programs and services and direct visitors to appropriate staff members in accordance with need.
  • Responsible for oversight of incoming phone calls, providing information to caller and/or routing to appropriate staff member if needed.
  • Demonstrate knowledge of general admission, financial aid, and academic programs, assisting current and prospective students.
  • Assist with arrangement and preparation for special events, student leadership programs and activities on the Moore County campus.
  • Assist with meeting arrangements for multiple committees, maintaining agendas, minutes and committee membership (i.e. Access & Diversity, CARE Team, Institutional Review Committee, Student Affairs Committee, Student Activity Fee committee, etc.).
  • Developing timelines for program processes and carrying out needed tasks (i.e. Academic Appeals, TN Promise/Hope Appeals, Student Activity Fee funding).
  • Coordinate collection and preparation of operating reports, budget expenditures, and other statistical records as needed.
  • Monitor, maintain and reconcile Dean of Students budget.
  • Periodically conduct purchases for various student clubs and organizations using an issued Pcard.
  • Prepare necessary forms and operational records for budget, purchases, grants, etc.
  • Provide a student centered approach to working with Student Government Association (SGA) events, programs, and election process.
  • Update and maintain club and organization paperwork and prepare for meetings and workshops for student officers and faculty advisors.
  • Provide data entry for students on Successful Academic Progress (SAP) and organize information related to student financial aid status.
  • Maintain confidentiality of student records and filing of FERPA.
  • Maintain office filing system, office supply inventory, and club resource inventory.
  • Maintain the organization and aesthetics of the Student Activities & Resource Center (SARC).
  • Perform other duties as assigned.
