Copyeditor, Communications Creative Services

Duties & Responsibilities
SUMMARY

This full-time, non-exempt position reports to the Director, Communications Creative Services. The Communications Creative Services team is one of the donor and alumni service groups that partner with frontline colleagues to create materials and services in support of central and University-wide Alumni Affairs and Development (AA&D) objectives.

This position requires mastery of grammar and style, keen attention to detail, and the ability to thrive in a highly matrixed, deadline-driven environment. Day-to-day duties include copyediting, proofreading, and fact-checking of print and digital content. The copyeditor collaborates with writers, project managers, and designers to ensure that the Communications team and its partners consistently produce top-quality content that supports AA&D's fundraising and alumni engagement activities.

DUTIES AND RESPONSIBILITIES

• Copyedit, proofread, and fact-check materials, including giving lists, annual reports, broadcast email text, event invitations and programs, fact sheets, long-form narrative pieces, newsletters, magazine inserts, proposals, marketing materials, reunion materials, donor- and alumni-focused stories, and other print and digital collateral produced by the Communications team.
• Ensure that all written materials conform to editorial style standards, using The Chicago Manual of Style. Adapt and master higher-education and Harvard-specific styles as outlined in the AA&D Style Guide. Periodically update the AA&D Style Guide and communicate changes to AA&D colleagues. Participate in training sessions on style and grammar for teams within AA&D as requested.
• Implement and adhere to version-control procedures, and edit proficiently in Microsoft Word, Google Docs, and other electronic files.
• Use the Advance alumni database to check names and degrees.
• Suggest and initiate process improvements as warranted.
• Demonstrate proficiency in navigating internal and external research services for fact checking and content gathering.
• If necessary, oversee coordinating of freelance copyeditors, including onboarding and directing workflow.

Basic Qualifications
Minimum two years of related experience.
Deep knowledge of The Chicago Manual of Style and the ability to learn and apply AA&D style.
Solid computer skills in PC and Mac environments, with the ability to master new digital tools, software applications, and technologies in database management and content-management systems.
Proficiency in Microsoft Office and on-screen editing in Word, PowerPoint, and Excel. Experience with content-management systems. Accurate and efficient word-processing skills required.
Additional Qualifications
College degree from an accredited institution strongly preferred.
Ability to seamlessly balance exceptional standards of quality with efficiency and speed.
Must enjoy serving colleagues and internal clients as an individual contributor and as a collaborative team player.
Familiarity with Adobe InDesign, Keynote, Quickbase, Basecamp, Workfront, or other equivalent applications and project management systems.
Must be detail oriented and able to prioritize work.
Ability to complete assignments in a timely manner, working independently with minimum supervision, as well as collaboratively on a team. Comfortable being a self-starter.
Familiarity with databases helpful.
Must be focused, motivated to learn, and flexible when encountering change.
Must have excellent customer-service and interpersonal skills and must take the initiative and maintain a strong work ethic at all times.
Must maintain a professional demeanor and be able to develop excellent relationships with members of the University community.
Must be professional, confidential, honest, and reliable. This position requires discretion in the handling of confidential and sensitive information.
Personal knowledge and experience with social media required.
Knowledge of fundraising in a nonprofit setting helpful.
Sense of humor appreciated.
