The College of Medicine is currently recruiting for a full-time (100% FTE) Program Coordinator in the Center for Continuous Professional Development (CCPD) / Continuing Medical Education - Regularly Scheduled Series Activities.

Essential Function : Work with Continuing Medical Education (CME) Director and other staff members to plan, design, evaluate, modify, and coordinate internal and external CME programing with a concentration on Regularly Scheduled Series activities. Provide direction and guidance to internal and external educational partners through review, accreditation, and oversight of CME activity plans, execution, evaluation, auditing, funding requests, grant processing, and reporting.

Characteristic Duties
  • Track and process grants/Letters of Agreement (LOAs)/A-910 Forms for Enduring Material and Live CME activities. Work with internal departments to ensure all LOAs and A-910s are processed in a timely manner. Learn and use Office of General Counsel ESM contract processing software.
  • Create and maintain activity files for CME activities according to Accreditation Council for Continuing Medical Education (ACCME) requirements, policies, and guidelines.
  • Initiate, request, and process UC Purchase Orders and Invoices for CME activities. Work with College of Medicine (COM) Operations and Finance to ensure that all POs and invoices are received and/or paid.
  • Coordinate with CME staff, departments, and educational partners to ensure timely documentation of attendance and course data into CloudCME Learning Management System (LMS), and subsequent payments for COM CME activities. Oversee receipt and deposit of payments.
  • Work with internal and external educational partners collaboratively in planning, developing, executing, reporting, and evaluating CME activities. Assist with reporting reconciliation of grant funding where appropriate.
  • Review applications, disclosures, speaker forms, promotional materials, etc., for CME activities to ensure compliance with ACCME regulations and standards.
  • Input activity data into LMS; set up online activities as needed; troubleshoot LMS and coordinate solutions with vendor and staff.
  • Work with educational partners and faculty to develop activity objectives and monitor quantitative and qualitative data on progress toward objectives. Periodically review objectives to gauge if activities are in accordance, identify problems and solutions, prioritize solutions and develop action steps for program improvement.
  • Research and analyze relevant literature and other benchmark information in order to support the development of grant proposals and new program ideas, and/or propose program changes.
  • Develop, administer and analyze assessment/evaluation questionnaires. Compile statistics and prepare reports.
  • Help to orient new departmental RSS coordinators. Participate in staff training and continuing professional development opportunities.
  • May provide direct supervision to exempt and non-exempt staff (i.e., hiring/firing, performance evaluations, disciplinary action, approve time off, etc.).
  • Perform related duties based on departmental need.


Minimum Qualifications : Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years' experience; -OR- five (5) years' experience. Experience must be in program coordination.

Preferred Qualifications: Work experience in a healthcare and/or accreditation environment; excellent interpersonal, written and oral communication skills, and Microsoft office skills. Ability to interact professionally with educational partners, learners, faculty, administrators, and staff. Ability to function independently.
