Starting Salary Range: The first two steps of the range are: $2,639 to $2,695 per month. Higher salary placement may be available based on qualifications, experience and internal equity.

Responsibilities/Duties:
15% Assistant to the Director
- Manage calendar, meetings, travel arrangements for director
- Manage director's reimbursement paperwork, pcard paperwork, and provide assistance to director for departmental budget matters
35% General clerical support for department
- Mail distribution for department
- Manage and order supplies and equipment for the department
- Department pcard management
- Prepare department staff reimbursements (TAFs, imprest cash, etc.) for director's signature
- Manage central department files
- Act as occasional backup for DTC front-desk receptionist (during breaks or absences, as assigned by director)
40% Office support
- Meeting management for the department (organize meeting times, reserve rooms, arrange refreshments if appropriate)
- Take meeting minutes for standing committee meetings and other meetings as assigned by director
- Make updates to department websites, with oversight from appropriate specialist or director
- Coordinate university transfer representative visits to campuses - Provide support to specialists and directors in compiling information, data, and research for departmental reports, as needed
10% Other Duties as assigned
Minimum Qualifications:
To be considered for this position, your application materials must show how you meet the following requirements (Note-experience requirements use full-time equivalent):
High school diploma or equivalent.
Three years of office assistant experience (college or business school training may be substituted for up to two years of the required experience).
Knowledge of:
- Contemporary office practices, procedures and techniques;
- Spelling, vocabulary, math and grammar skills appropriate to the level of the position;
- Basic budget principles.
Skills in:
- Operating a computer and various software packages;
- Operating a variety of office equipment;
- Identifying student needs and matching them with available resources;
- Creating, organizing and keeping records.
Able to:
- Develop and maintain effective working relationships;
- Meet college expectations regarding customer service;
- Maintain a reliable and dependable attendance record;
- Provide effective and responsive service to department customers and contacts;
- Locate information using electronic resources, including the Intranet and Internet, as assigned;
- Learn and utilize Banner or other information systems and databases
Positions in this job family typically work in an office setting but may be assigned more physical duties such as transporting office supplies and equipment. Some positions may involve limited local travel.

- At least one year of experience as an office assistant in a higher education setting
- Demonstrated experience with MS Office suite, Adobe Acrobat, web editing software
- Demonstrated ability to manage multiple tasks/responsibilities and competing priorities
- Experience providing support and coordination for multi-department meetings
- Demonstrated ability to organize departmental systems and information, and to support activities and agendas for multiple department staff and committees
