Administrative Assistant

The Michigan State University College of Law has an immediate opening for a full-time Administrative Assistant to support the Office of Admissions (OA) and Office of Graduate and International Programs (OGIP). The two offices work collaboratively under shared leadership on all admissions activities for the College’s Juris Doctor and graduate programs.

 

JOB SUMMARY

The Administrative Assistant will provide front-line service to prospective students, applicants, and admitted students, as well as staff and other visitors to the overall Law School. This individual will also provide administrative and clerical support for both offices.

 

Primary responsibilities will include day-to-day administrative tasks, including maintenance of admissions databases (including Salesforce), document management (scanning, uploading, filing), preparing mailings and travel packs for traveling recruiters, and handling routine e-mail inquiries. The Administrative Assistant will serve as the receptionist for both offices, as well as for the Dean’s Suite located nearby, managing both foot and phone traffic.

 

The Administrative Assistant will also provide support for departmental events, and be tasked with scheduling individual visits for prospects and applicants who want to visit the College of Law. The Administrative Assistant also helps schedule appointments for office staff and provides support for SEVIS (immigration) processing and administration, as needed. Preference will be given to candidates with Salesforce/CRM or admissions database experience.

 

The Senior Associate Dean for Admissions and International Programs and the Assistant Dean for Admissions and International Programs oversee both the Office of Admissions and the Office of Graduate and International Programs. The Office of Admissions manages recruitment and admissions for the J.D. program, while the Office of Graduate and International Programs manages the same for all graduate (non-JD) programs for the College of Law, including Master of Laws and Masters of Jurisprudence programs in the American Legal System, Intellectual Property, and Global Food Law, and the Masters of Legal Studies.

 

This is a full-time position (40 hours/week). Hours: 8am to 5pm.

 

DUTIES AND RESPONSIBILITIES

                 

  • Assists in day-to-day office tasks, paying special attention to detail, process, policy and organization;
  • Serves as primary receptionist for foot and phone traffic to the Admissions Office, Office of Graduate and International Programs, and Dean’s Suite, using culturally appropriate and sensitive communication;
  • Primary responsibility for scheduling individual visits to the Law College by prospective students and other visitors;
  • Helps maintain admissions and prospect databases (Salesforce and ACES) for all MSU College of Law graduate programs;
  • Helps manage correspondence with applicants and prospects on a daily basis (including inputting of prospect and applicant data, assigning departmental tasks and logging communication in Salesforce);
  • Assists with processing of admissions applications, including uploading of documentation to admissions database, maintaining applicant files, scanning and uploading application and SEVIS documents, and communication to applicants regarding application status;
  • Provides support with event planning including, scheduling, planning and material preparation;
  • Assists with mass and individual mailings and electronic mailings to new and current students, including time-sensitive admissions and SEVIS documents; and
  • Assists with other Department functions as assigned.

 

Supervisory Responsibilities: Assists with supervision of student employees as needed.

MINIMUM QUALIFICATIONS:

Education: At least one year of post-secondary education; Associate’s degree preferred.

Experience: 2 or more years’ experience in a multi-tasked office setting or equivalent related experience.

WORKING CONDITIONS AND PHYSICAL DEMANDS

  • Work is normally performed in a typical office environment.
  • Level of exposure to physical risk is very limited to none.

REPORTING RELATIONSHIP

Reports to Admissions Coordinator, Director of Admissions, and Assistant Dean for Admissions and International Programs.
