Position Description:
Founded in 1901, Cal Poly is one of only five comprehensive polytechnic universities in the nation, with approximately 18,000 undergraduate, 120 post-baccalaureate, and 900 graduate students. U.S. News & World Report has ranked Cal Poly #1 among public master's universities in the western United States for 23 consecutive years. Cal Poly is a residential campus, with an on-campus population of approximately 7,000. Primarily an undergraduate university, Cal Poly offers 66 baccalaureate and 27 master's degrees. The university is organized into six colleges with two-thirds of the university's students majoring in agriculture, architecture and environmental design, business, or engineering. The role of the University Development Division is to foster strong relationships with internal and external partners to enhance support for Cal Poly. University Development establishes and implements an overall advancement program, including coordinating fundraising, communications, government and community relations, marketing and alumni programs.

Under the general supervision of the Assistant Director of Donor Relations, the Stewardship Coordinator works independently to perform specialized activities to enhance constituent relations through communications, stewardship and special events; and supports the Office of the President and University Development leadership with special recognition projects management.


Minimum Qualifications (Staff Only):
Bachelor's degree and two years of progressively responsible experience in marketing and public relations, or a related field.


Required Qualifications:
Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Excellent communication skills; ability to effectively communicate in a clear and understandable manner, both verbally and in writing. Thorough mastery of English grammar, punctuation, and spelling; strong writing and editing skills to quickly produce clear and concise documents for internal and external publication; excellent proofreading skills.
Ability to interpret, communicate and apply policies and procedures.
Foundation knowledge of general practices, methods and procedures related to public affairs, media relations, marketing, special events, and/or fund-raising fundamentals.
Experience in developing a plan to enhance communication between individuals and various entities.
Working knowledge of protocols and institutional etiquette related to public/donor relations; experience in coordinating meetings and special events.
Strong interpersonal skills and a demonstrated success in interacting effectively with a wide scope of people at all levels. Ability to serve as a liaison for the department.
Demonstrated success in handling sensitive information with a high level of confidentiality.
Ability to exercise discretion, independent judgment, diplomacy, patience, and persistence in carrying out assignments. Ability to reason logically; analyze and solve problems; and complete projects with little supervision and meet strict deadlines. Ability to recommend creative solutions while ensuring compliance with established University scholarship policies and procedures.
Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments simultaneously with fluctuating and time-sensitive deadlines by applying working knowledge of the organization, programs and priorities; ability to handle a complex, fast-paced work schedule while paying attention to detail.
Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
Excellent computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, on-line systems, Internet, presentation programs as well as online calendaring and email.
Strong writing and editing skills to quickly and accurately produce letters, invitations, spreadsheets and agreements. Knowledge of basic web communication techniques, vehicles and formats.
Basic knowledge of applicable copyright and other laws pertaining to written materials, news media and confidentiality.

Preferred Qualifications:
Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
Ellucian Advance, PowerPoint, Word, Excel and Access.

  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
