Working Hours: One short-term, full-time position, 40 hours per week on the Oceanside Campus; this short-term assignment will last for approximately 6 months. The person selected for this position will be subject to assignment to any district facility during any hours of operation, occasional evenings may be required.

>>If you have not previously passed the MiraCosta College Secretarial In-Basket Test, you are expected to be present and complete the exam on one of the following currently scheduled test dates: Friday, February 9, 2018 at 2:30 p.m. or Friday, February 23rd at 2:30 p.m.; both tests will be held at the Oceanside campus at One Barnard Drive, Oceanside, CA 92056.

On February 9th the test will be held in Rooms 3608 and 3609

On February 23rd the test will be held in Rooms 3102 and 3106

The test will begin promptly at 2:30 p.m. No one arriving after 2:30 p.m. will be admitted. Please call 760.795.6854 if you have any questions. NOTE: A visitor parking permit is required and can be obtained at the Campus Police Office, Bldg. 1100.<<

4. Transcripts of college coursework which provide evidence of meeting the minimum qualifications as stated above. Unofficial or legible copies are acceptable but must indicate that the degree was awarded, if applicable. Any degree/coursework used to satisfy the minimum qualifications must be from a postsecondary institution accredited by an accreditation agency recognized by either the U.S. Department of Education or the Council on Postsecondary Accreditation. If your degree/coursework is from a college or university outside of the United States, you must submit a detailed evaluation from a professional foreign transcript evaluation agency. Basic Function and Other Details:
Provide technical and administrative support to the Human Resources Operations Manager and the Human Resources Department.

Representative Duties:
(E = essential job function)

1. Coordinate the logistics of the hiring of District faculty, staff and administrators; monitor for compliance with District and State Education code hiring requirements; work with hiring committees regarding all phases of the recruitment process including timelines, advertisements in appropriate newspapers/publications, write/edit and distribute job announcements, proctor required tests, screening applications for minimum qualifications, assemble screening and interview materials, check diversity of applicant and interview pools, schedule interviews. (E)

2. Process personnel requisitions and hire papers; assist with initial salary placements; schedule pre-placement physicals; monitor fingerprint results and reconcile monthly statements from Department of Justice. Provide preliminary information to the faculty committee on equivalency requests. Process volunteer forms and ensure compliance with applicable rules. (E)

3. Answer questions and resolve problems relating to employee health and welfare benefits; provide assistance to faculty, staff, administrators, Board members and retirees regarding the open enrollment process and various plans available; review documents for accuracy and completeness. (E)

4. Receive and screen visitors and schedule appointments; screen telephone calls providing information or referring callers to appropriate department or staff and resolving problems and questions as appropriate; receive, open, stamp and route mail; identify and refer matters to the appropriate staff member in order of priority. (E)

5. Serve as resource to faculty Professional Growth & Evaluation (PG&E) committee. Coordinate non-classroom faculty evaluation survey process. Manage the administrator evaluation process. Update administrator handbook. Create electronic surveys as needed. (E)

6. Maintain Human Resources web pages, including posting information on available positions.

7. Initiate and compose correspondence, memos and reports independently or from oral/written instruction; prepare and type a variety of documents, including material of a confidential nature; create and update forms. (E)

8. Perform a variety of duties such as review and proof documents, records and forms for accuracy, completeness and conformance to applicable rules and regulations; sorting paychecks, posting, filing, typing, duplicating and shredding; maintain and update calendars, schedules, lists, manuals and handbooks for distribution and use by a variety of administrators, staff and the public. (E)

9. Order and maintain office supplies and equipment; schedule maintenance and repair of equipment; prepare and process purchase requisitions according to approved procedures.

10. Train and provide work direction and guidance to student workers, volunteers and other staff as necessary.

11. Perform related duties as assigned.

Minimum Qualifications:
To be eligible for this position, you must meet and provide evidence of the following minimum qualifications:

1. Associate's degree or the equivalent

2. Two years of related work experience
(IMPORTANT: For work experience, one "year" is defined as equivalent to 40 hours per week for 12 months, or at least 2,080 hours.); AND
