Financial Assistant 1 (UCP 1)


The Department of Chemistry, in the College of Liberal Arts and Sciences, seeks qualified applicants for the position of Financial Assistant 1 (UCP 1). The Department of Chemistry's staff provides quality professional services to a diverse and thriving community of students and faculty engaged in innovative research and academic excellence. Under the supervision of the Program Coordinator and the CLAS Business Services Center, the incumbent will process and maintain financial transactions and records for the Department of Chemistry.

DUTIES AND RESPONSIBILITIES
  1. Scans, organizes, submits and maintains fiscal documents for department including purchasing, travel, and other disbursements.
  2. Analyzes and verifies and enters details of transactions such as invoices, requisitions, reimbursements and other disbursements in accordance with university, college and departmental policies and procedures.
  3. Verifies and approves payment requests and internal billing documents.
  4. Assists with reviewing and closing purchase orders.
  5. Assists with placing orders and following up with vendors to resolve problems and assure timely delivery.
  6. Assists with managing departmental accounts, including account creation and adjustments.
  7. Monitors accounts receivables and follows up with outstanding payments.
  8. Sets up new vendors for payments and reimbursements.
  9. Assists with ordering, receiving, and dispensing office supplies.
  10. Prepares and distributes invoices for department service facilities (NMR, Mass Spec, Stockroom).
  11. Provides data to CLAS Business Services Center for budget preparation.
  12. Assists with booking travel and processing travel reimbursements.
  13. General help in the main office.
  14. Performs related duties as required.

MINIMUM QUALIFICATIONS
  1. Associates degree in accounting or bookkeeping.
  2. Two years' experience in accounting or bookkeeping.

PREFERRED QUALIFICATIONS
  1. Bachelor's degree in accounting, finance, business or a related field.
  2. Experience working in a higher education setting.
  3. Must be accurate, detail oriented with thorough knowledge of basic accounting and office procedures.
  4. Excellent computer skills including experience with Excel and KUALI, or other expert software.
  5. Proven organizational skills.
  6. Excellent communication and interpersonal skills including the ability to work with all levels of management/faculty/staff and students.
  7. Ability to communicate effectively with foreign students and scholars whose first language is not English.
  8. Problem-solver with a team-orientated approach.
