Responsibilities:

The Coordinator of Undergraduates Services provides planning, operational, logistical and administrative support to the work of the School of Economics and Business Administration, especially as it relates to student experience and success, career services, events, assessments, accreditation, reporting and special projects. This position works collaboratively with the Associate Dean of Undergraduate Programs and Faculty, the Assistant Director of Student Success, the Manager of Career Services, and all department chairs/program directors. This position also works cross-functionally with other areas in the college to facilitate workshops and all events to fulfill SMC's retention and student success initiatives. In addition, this position supports faculty with office and administrative needs.

1. Providing SEBA undergraduate academic support services and overseeing marketing/promo aspects related to SEBA undergraduate programs

  • Requiring thorough knowledge and understanding of the advising, petition, drop/add and registration process, this position provides basic guidance, responding to all inquiries from SEBA undergraduate students via face to face, email and phone, and acts as a liaison between the student, BUSAD Director, Associate Dean, and all Faculty Advisors.
  • Oversees and processes all administrative paperwork and reports necessary to document support services provided.
  • Working in collaboration with the Associate Dean, facilitate all advising outreach programs/activities and coordinate all publicity efforts to inform students of important policies and deadlines, to include but not limited to, email blasts and the SEBA website.
  • Assist in the development of advising resource materials for use by students, which include both print and web-based materials.
  • Oversee marketing and promotional aspects related to SEBA undergraduate programs (e.g. monthly newsletter, website updates, print materials, student success wall, student/alumni success profiles, etc.)
  • Generate, analyze and synthesize reports related to enrollments, faculty advising, and retention
  • Serve as the liaison with the SMC Bookstore to make sure that all textbook orders are placed by faculty teaching undergraduate courses

    2. Administrative Support
  • Primary point of contact for all student and faculty issues related to SEBA undergraduate programs. Responds to email, phone and walk-in requests for service.
  • Provides primary administrative support to SEBA faculty teaching undergraduate programs (e.g. photocopying, distribute daily mail, coordinate all facilities/IT requests, maintain all equipment, supplies, storage room, photocopying, expense reports, special projects, etc.) and to the Associate Dean for Undergraduate Programs and Faculty.
  • Manage all SEBA faculty CVs on annual basis and collect supporting materials including scholarly data.
  • Maintain all AACSB documentation and provide administrative support to the Associate Dean as requested.
  • Responsible for collecting, auditing, and maintaining the files, electronic and paper, of all SEBA syllabi each semester.
  • In collaboration with the Assistant to the Dean, manage all faculty office assignments each semester and assist in the administrative coordination and tasks associated with ensuring seamless welcome and transition of new faculty.
  • Serve as the member of the SEBA UPC committee, record and prepare meeting minutes.
  • Oversee and prepare SEBA undergraduate related certificates throughout the year to include SEBA clubs and Career Gateway program.
  • Redesign and maintain the interior of the 3rd floor Galileo (student experience).

    3. SEBA Undergraduate Career Gateway Program
  • Manage implementation of the Career Gateway Program workshops and events.
  • Develop, design and implement all promotional collateral necessary for each event (flyers, email blasts, SEBA undergraduate Facebook page, and SEBA undergraduate website).
  • Oversee, coordinate and act as the event manager for all workshops.
  • Manage the workflow and timeline of promoting all Career Gateway events to SEBA majors including email blasts, and the SEBA website.
  • Manage all aspects of the Career Gateway program including tracking workshop attendance, generating appropriate reports and maintaining all relevant documentation.
  • Collect and tabulate student evaluations from all SEBA Career Gateway workshops.

    4. SEBA Undergraduate Career Services
  • Oversee and manage numerous career-related initiatives including undergraduate on-campus interviews, recruiting events and Meet the Firms (accounting)
  • Collaborate with and support SEBA's Office of Career Engagement
  • Oversee the collection, compilation, and analysis of internship and employment outcomes data.
  • Manage relationships with employers as they relate to on-campus interviews and recruiting events

    5. SEBA Undergraduate Events Management
  • Oversee scheduling and logistics for undergraduate and accreditation-related events (e.g. UG and/or AACSB related committees, student clubs, AACSB related meetings, etc.) including room reservations, catering arrangements, facility and media set up along with administrative support, including but not limited to, name badges, presentation materials, certificates etc.
  • Oversee, coordinate, and act as the event manager of the annual SEBA undergraduate awards dinner.

    QUALIFICATIONS:

    Education: REQUIRED: Bachelor's degree PREFERRED: Master's degree

    Experience: (years required and applicable field of experience) 5 years+ experience in an academic setting.

    Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical) Skills - analytical, critical thinking, marketing communications, verbal and written; Advanced computer skills including email, Word, Excel, web pages, desktop graphics, mail merge, PowerPoint, email campaign management system.
