Salary Range: Salary commensurate with background and experience of the individual selected. Position Description:
Cal Poly is seeking an Associate Director of Financial Aid and Scholarships for The Financial Aid Office!

The Position:
This position is responsible for the operations of the front counter and overseeing the general processing of financial aid documents and file reviews as well as the communications of financial aid information via web content, email notifications, forms, checklists and award messages. This position supervises advising staff and student assistants to ensure timely and appropriate response to student, parent and public questions and appropriate flow of document receipt; supervises the outside scholarship coordinator; supervises the lead counselor; and works with counseling staff team to ensure timely review of files and reports.

The Department:
The Financial Aid Office is responsible for the determination of eligibility for, and awarding of, federal, state, institutional and private grants, scholarships, and work and loan programs in excess of $150M annually to over 13,000 students. The office is responsible for adhering to the regulatory requirements as outlined in federal and state regulations as well as donor and institutional policies and for assuring compliance by the University. The Financial Aid Office serves the University by assisting students in obtaining financial aid and scholarships to attend Cal Poly. The Office's primary function is to provide appropriate financial aid based on federal and state parameters and in keeping with CSU and Cal Poly institutional policies.

  • Minimum Qualifications (Staff Only):
    EDUCATION AND EXPERIENCE: Bachelor degree and (3) three years progressively responsible management experience in a Financial Aid Office or Master degree and (2) two years progressively responsible management experience in a Financial Aid Office.

    LICENSES, CERTIFICATES, DEGREES, CREDENTIALS: Possession of a valid driver's license or the ability to obtain by date of hire.


    Required Qualifications:
  • Thorough knowledge of federal, state and institutional regulations.
  • Thorough knowledge of federal verification, SAP standards, and limits on federal and state aid.
  • Knowledge of change of income and special conditions as it relates to the revision of aid.
  • Knowledge of FAFSA, NSLDS and Student Loan websites.
  • Thorough understanding of Stafford and PLUS requirements.
  • Thorough knowledge of English grammar, spelling and punctuation.
  • Skilled at managing and relating openly, collegially and comfortably with diverse groups of people.
  • Skilled at supervising, building, and leading strong, diverse and goal-oriented teams within a Financial Aid Office.
  • Skilled at holding self and others accountable to clearly stated commitments.
  • Demonstrated customer service skills requiring a very high level of diplomacy and professionalism.
  • Skilled at operating effectively and efficiently in an environment of change and ambiguity.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Skilled at maintaining high quality / standards of work, leadership, ethics, commitment, and professional responsibility and judgment.
  • Ability to use Department of Education websites to check data on individual students and parents.
  • Skilled at effectively communicating information in a clear and understandable manner to staff and a variety of audiences both verbally and in writing.
  • Demonstrated ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to work in a fast-paced environment and to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines while maintaining a high degree of detail and accuracy with constant interruptions.
  • Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
  • Knowledge of or the ability to learn federal and state financial aid and scholarship regulations and policies.
  • Ability to represent the university and its interests in a professional and conscientious manner.

  • Preferred Qualifications:
  • In-depth knowledge of federal and CA state aid programs and policies.
  • Thorough understanding of SAP and return to Title IV.
  • Knowledge of NCAA financial aid compliance rules.
  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

  • Special Conditions:

  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work extended hours, occasional holidays, and adjust working hours to meet organizational needs. May be called back periodically to perform work as needed on an emergency basis.
  • The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
  • Full-time MPP employees are required to disclose outside employment at time of hire or within 30 days of taking additional outside employment subsequent to time of hire.
  • This position classification has been defined as "Exempt" and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
  • Must not be in default on a federal student loan or owe a repayment of a federal grant.

    Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.

    May be required to complete a Supplemental Employment Application Questionnaire, which contains questions pertaining to conviction history, and submit it when requested by Cal Poly. This disclosure is confidential and will not necessarily preclude applicants from employment.
