ADMINISTRATIVE SUPPORT COORDINATOR I, THEATRE & DANCE DEPARTMENT - The Theatre and Dance Department (TH/DANC) is a major academic unit in the College of Liberal Arts (CLA). The department offers a B.A. in Theatre Arts, a minor in Dance, a minor in Theatre, and offers courses to satisfy General Education and Breadth requirements open to all Cal Poly students. The department is currently composed of a department chair (on a 3-year rotation, with 3-year renewable terms), 5 full-time faculty, 10-12 part-time lecturers, and 3 staff (Technical Director, Costume Shop Manager, Administrative Support Coordinator).
The Administrative Support Coordinator provides full-scope administrative support/assistance to the department chair and faculty members, provides direction to students who have interactions with the Theatre and Dance Department, and serves as the first point of contact in the office for students, faculty, staff, and the general public, adhering to FERPA policy in dealing with student information and directing queries to other campus entities as necessary.
The following examples illustrate typical work activities and are not meant to be all inclusive or restrictive:
Department Administration - Provide scheduling, enrollment and curriculum support; coordinate daily operations of the department office, including calendaring, composing routine correspondence and reports; effectively handle sensitive interpersonal situations with parents, students, faculty, staff and administration. Attend departmental meetings and take minutes. Event planning for special events such as guest speakers, Open House, Commencement, Awards, Year End Social and special conferences. Support departmental space by assigning keys, scheduling on calendar, addressing facility issues. Provide lead work to student assistants and administrative support assistant positions as needed.
Budget - Oversee, maintain and reconcile multiple budget accounts; research and resolve discrepancies with fiscal offices; budget analysis and projections to assist Department Chair; design and implement mechanisms to track expenditures; review master payroll certification assuring correctness and approve when requested; track and monitor student payroll; prepare quarterly budget report(s); oversee and reconcile travel and professional development expenses; coordinate production expense disbursements and reimbursements with Spanos Theatre, PAC, CLA Dean's office.
Personnel - Coordinate recruitment process for full and part time faculty; establish and monitor application process; arrange travel and lodging for candidates; coordinate activities pertaining to Retention, Promotion and Tenure (RPT), post tenure review and evaluations of faculty; coordinate staff hiring and evaluation activities; track faculty assignment, document assigned time, and initiate lecturer contracts.
Student Services - Serve as liaison for Theatre majors, Theatre & Dance Minors, other students and faculty interpreting university, college and department policies and procedures; apprise students of policies and procedures as requested; disseminate information via email, correspondence, posting notices, and/or in person.
Facilities - Serve as liaison between department and Facilities Services.
Technology - Update department website with images, faculty/staff information, such as office hours, consulting, etc.

Minimum Qualifications (Staff Only):
High school diploma or its equivalent. Type 45 wpm. Four years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)

Must have ability to safely move and unload boxes of supplies/files and place them in appropriate storage areas. Job may require occasional lifting and/or moving of office supplies and paper (up to 25lbs.).
Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA).
