HR Assistant


Brief Summary:

The Office of Human Resources at Marist College is accepting applications for the position of HR Assistant. The HR Assistant serves as the primary customer service contact for the department and is responsible for creating a welcoming environment for visitors; responding to inquiries in person, over the phone and via email, fax and mail with a sense of importance and urgency; creating and maintaining departmental records and personnel files; and performing general office administration, including developing and maintaining a system for ordering supplies, scheduling meetings, drafting and proofreading memos, assisting with the coordination of events, reconciliation of department credit card statements and invoices, as well as maintaining brochures, bulletin boards and other communications materials. The HR Assistant will hire, train, supervise and assign work to the student office assistants.


Duties and Responsibilities:

The HR Assistant also assists in recruitment activities by collecting required new hires forms, including the verification of the federal Form I-9, submitting background check requests, maintaining files, entering employee data into the HRIS system (Banner) in a timely manner, and ensuring accuracy and integrity of employee data and personnel records. This position handles sensitive and confidential information and difficult personnel issues as a normal course of activities.


Qualifications:

Two years of college and two years' experience in a busy office environment, demonstrated proficiency with MS Office (Excel, Word, and PowerPoint), superior customer service skills, and strong organizational and verbal and written communication skills required. Ability to work with a diverse population and to interface with executives, faculty, staff, students, vendors and other outside clients. Attention to detail, accuracy, and the ability to multi-task, prioritize and meet tight deadlines also required. Preferred: experience with Banner or other HRIS, basic knowledge of human resources functions, and previous supervisory experience.
