Responsibilities:

Saint Mary's College of California is hiring an administrative assistant to support the School of Science, Office of the Dean. The administrative assistant will work closely with the dean to provide administrative support. The position develops a wide variety of original documents, manages complex scheduling and travel arrangements, and handles a broad range of inquiries, issues and confidential materials. The role assumes high levels of interpersonal and organizational skills and the ability to act independently to determine methods and procedures.

Responsibilities include managing the day-to-day operation of the dean's office; managing the dean's calendar, event and travel schedules; overseeing arrangements for events in the School of Science; preparing a range of faculty contracts and stipend requests, with attention to promptness, accuracy and confidentiality; interfacing with the School of Science Advisory Board members and donors; tracking budget expenditures; preparing and distributing communications from the dean's office, which includes a newsletter produced twice each year; taking minutes at meetings led by the dean; and executing research and administrative projects as needed. The Assistant to the Dean works collaboratively with the school's department chairs, faculty members, other staff members and students, and interacts with personnel in other departments across campus.

Requirements include technical proficiency in standard office productivity software and the ability to learn the college's standard academic technical infrastructure including GaelXpress for tracking budgets and class schedules, online scheduling and menuing software, website content management software, and the Google suite of applications including Google Docs and Google Sheets to maintain online departmental records.



Experience and Qualifications:


Minimum qualifications include a high school degree or equivalency, A bachelor's degree is preferred.
