Position Description:

The Financial Aid Office is responsible for the determination of eligibility for and awarding of federal, state, institutional and private grants, scholarships, and work and loan programs in excess of $90M annually to over 10,000 students. The office is responsible for adhering to the regulatory requirements as outlined in federal and state regulations as well as donor and institutional policies and for assuring compliance by the University. The Financial Aid Office serves the University by assisting students in obtaining financial aid and scholarships to attend Cal Poly. The Office's primary function is to provide appropriate financial aid based on federal and state parameters and in keeping with CSU and Cal Poly institutional policies.

The purpose of this position is to perform a full range of clerical and administrative functions in support of the Financial Aid Office including communicating with and providing a wide variety of financial aid information to prospective students and their parents, current students, school counselors, the general public, and faculty and staff by phone, in person and via email and other electronic means. This position is responsible for the day-to-day evaluations and processing of financial aid documents as well as coordinating and preparing student financial aid documents for scanning. The incumbent will serve as a liaison between students and financial aid counselors and other staff across campus.

The following examples illustrate typical work activities and are not meant to be all inclusive or restrictive:

Student and Parent Support and Communication:

  • Serves as initial contact for student questions. Provides information and guidance by answering questions via in-person, phone, email and other electronic means regarding both general and specific financial aid concerns. Determines when it is appropriate for students to be referred to other Financial Aid staff or other offices. Maintain strict confidentiality of all student specific information in compliance with FERPA regulations.

  • Provide information on federal, state, local and institutional aid programs; explain criteria and eligibility requirements for each program.

  • Communicate to students how to view and accept/decline awards, complete to do list items, and assist with other financial aid requirements.

  • Communicate with parents how to apply for PLUS loans.

  • Responsible for intake of all student related financial aid documents. Review documents for accuracy and acceptability for federal, state and institutional compliance standards. Return or notify families and students of incomplete forms and prepare finalized documents for scanning. Work closely with Financial Aid Counselors regarding any additional documents required.

  • Review and finalize eligibility documents such as selective service, citizenship. Consult with appropriate Financial Aid staff regarding complex citizenship and permanent resident issues that could involve legal immigration status.

  • Apply knowledge of financial aid regulations and policies when reviewing for accuracy and completeness submitted financial aid forms, applications, loan requests and dependency or other appeals.

  • Process Direct Loan PLUS applications into the PeopleSoft system. Communicate with parents regarding credit issues. Award additional unsubsidized loan in cases of credit denial.

  • Complete forms required by other institutions/agencies including Department of Social Services reports, GRE Fee Waivers and enrollment verification for scholarship donors.

  • Minimum Qualifications (Staff Only):
    High school diploma or its equivalent. Type 45 wpm. Five years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)


    Required Qualifications:
  • Excellent communication skills. Ability to articulate, both orally and in writing, complex information and regulations to students, parents and general public. Strong customer service skills and ability to handle upset students or parents effectively.
  • Ability to establish and maintain effective working relationships; ability to work well with others and as a team player, cultivate and maintain a positive and productive working atmosphere within the department.
  • Ability to maintain a high degree of confidentiality and professionalism.
  • Ability to assess a student's situation and use tact and diplomacy when referring to other financial aid staff or other offices on campus.
  • Ability to perform detailed work with a high degree of accuracy and efficiency.
  • Comprehensive and detailed knowledge of, or the ability to quickly learn, university infrastructure, policies, and procedures to perform a variety of functions and services in support of the program goals.
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion. Ability to adapt to changing policies, procedures and technology.
  • Strong attention to detail. Demonstrate ability to analyze and understand problems from a broad perspective and develop, recommend and evaluate thorough solutions.
  • Ability to perform business math, analyze data and make projections requiring some inference.
  • Excellent organizational skills. Ability to independently anticipate and prioritize tasks and projects through the use of initiative, time management skills, creative problem-solving, and sound decision making. Take initiative with supervisor for projects during slower work-periods. Ability to use negotiation and persuasion skills to achieve results and expedite projects remaining calm and focused in a fast-paced office with numerous interruptions, deadlines, and requests.
  • Thorough knowledge and skill in standard office procedures and practices. Ability to operate and troubleshoot office equipment.
  • Thorough mastery of English grammar, punctuation and spelling; excellent proofreading skill to edit materials and verify accuracy of correspondence and reports. Ability to effectively write and present own reports.
  • Expertise in using computers and standard office applications including word processing, spreadsheets, databases, e-mail, calendaring and the internet. Ability to learn new software programs.

  • Preferred Qualifications:
  • Knowledge of financial aid.
  • Experience with MS Word, Excel and PeopleSoft.

  • Special Conditions:

  • Must be able to work overtime, occasional holidays and various hours and schedules to provide coverage for the needs of the department. May be called back periodically to perform work as needed on an emergency basis.
  • Must be able to successfully pass a pre-employment background/fingerprint check.
  • The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
  • This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA).
