Counseling Technician - SSSP


Definition
DESCRIPTION
Under the direction of the supervisor, provide a wide range of technical and paraprofessional assistance to students, faculty and counselors in the delivery of counseling services.

DISTINGUISHING CAREER FEATURES
The Counseling Technician - Student Success and Support Program (SSSP) is a multi-level career path for student services. The Counseling Technician - SSSP requires two years in a capacity equivalent to a Counseling Assistant and a demonstrated ability to utilize independent judgment and initiative in performing diversified functions in support of Department-wide operations and records management.

EXAMPLES OF DUTIES: Duties may include, but are not limited to, the following:
  1. Perform a variety of complex administrative duties to relieve the Dean and other counseling and guidance administrators and staff of administrative and clerical detail; assure smooth and efficient office operations, and proper and timely completion of projects and activities; plan, coordinate and organize office activities.
  2. Perform a variety of technical duties in support of counseling department and records maintenance functions in accordance with District policies and State and federal guidelines; compile, assemble, verify and evaluate a variety of student and other data and information; assist in assuring related projects, activities and transactions are completed in a proper and timely manner.
  3. Prepare, print, generate, distribute, receive, process and evaluate student forms and related records and documents; review and audit forms and other documentation to assure accuracy and completeness; request additional student information and identify and correct errors as needed.
  4. Serve as a technical resource to students, staff, faculty and others regarding counseling department and related functions; respond to inquiries and provide technical information regarding forms, documents, schedules, courses, guidelines, requirements, processes, laws, rules, regulations, policies and procedures.
  5. Input, extract, and update student and a variety of other data and information in assigned computer systems such as Ellucian ERP, SARs, and DegreeWorks; establish and maintain automated counseling records and files; initiate queries, create spreadsheets and computerized reports and documents.
  6. Coordinate Counseling department communications and information between students, personnel, administrators, relate any records issues, conflicts and discrepancies in a proper and timely manner; refer complex requests, conflicts and issues to the Dean or other administrators as appropriate.
  7. Serve as first-point-of-contact by greeting visitors, answering phones and responding to inquiries, scheduling and updating counseling appointments, maintaining files, retrieve and delivery mail, and setting up schedules.
  8. Contact students and other departments to verify transcripts and information as needed. Gather and input students' data, and track Student Education Plans for incarcerated students.
  9. Refer students and staff to other offices, services, campus locations, departments and resources as appropriate; serve as a liaison to other colleges regarding counseling records functions and related issues, needs and activities.
  10. Compose, prepare, revise and distribute a variety of correspondence such as letters, lists, forms, instructions, informational materials, flyers, notices, and label envelopes.
  11. Review and compare computerized data with manual records and documents to assure accuracy and completeness; identify, investigate and resolve complex discrepancies; make corrections as needed.
  12. Performs other duties as assigned that support the overall objective of the position.

Qualifications
MINIMUM QUALIFICATIONS

Knowledge of :
  1. Terminology, practices and procedures involved in counseling and guidance office operations.
  2. Department organization, operations, policies, and objectives.
  3. Basic college and state standards and requirements concerning student enrollment and registration.
  4. Spreadsheets and databases for storing and transferring data.
  5. English language composition, syntax, grammar, usage, vocabulary, spelling and punctuation sufficient to compose specialized correspondence.
  6. Math skills to perform basic business computations, record statistical data, and follow budget and purchasing procedures.
  7. Human relations skills to facilitate group processes, deliver presentations, and explain technical concepts to students with diverse backgrounds.
Ability to :
  1. Independently perform the duties of the position, following well-defined policies and procedures.
  2. Perform a variety of complex administrative assistant duties to relieve the Dean and other counseling and guidance administrators and staff of administrative/clerical detail.
  3. Plan, coordinate, and organize office activities and coordinate flow of communications, correspondence, and information in support of counseling and guidance office operations.
  4. Serve as a technical resource to students, staff, faculty, and others regarding counseling department, student records, and related functions.
  5. Compile, assemble, verify and evaluate various student and other data and information.
  6. Establish and maintain counseling records and files and prepare a variety of reports.
  7. Prepare, print, generate, distribute, receive, process and evaluate student forms and related records and documents.
  8. Check transcripts to assist in determining allowable credits to facilitate student advisement.
  9. Learn, interpret, apply and explain applicable laws, codes, rules, regulations, policies, and procedures.
  10. Utilize a computer to input and update data, maintain automated records and files, and generate computerized reports and documents.
  11. Maintain confidentiality with student information.
  12. Maintain complete and accurate files and records.
  13. Maintain productive and cooperative working relationships with others.
  14. Communicate effectively both orally and in writing.
  15. Operate a variety of office equipment including a computer and assigned software.

Education and Experience :
  1. High School diploma or the equivalent.
  2. Three (3) years of general clerical or related experience involving record keeping functions and frequent public contact including experience involving work with counseling, guidance, matriculation or other related function.
  3. Or, any combination of education, training, and/or experience that would provide for the required qualifications.

Conditions of Employment
This is a full-time, categorically-funded, 12-month per year classified position. The District reserves the right to extend, modify, or eliminate this position based upon available funds. The normal hours of work will be 8:00am to 5:00pm, Monday through Friday, with some flexibility required to meet the needs of the department. The effective date of employment will be arranged with the supervisor.

PAY PHILOSOPHY: Starting salaries for support staff positions begin at Step-1 of the salary range. All movement on the salary schedule will occur July 1 of each year for all classified employees.

WORK ENVIRONMENT AND PHYSICAL DEMANDS:
  1. Work is performed in an office environment, indoors where minimal safety considerations exist.
  2. Requires sufficient ambulatory ability to move to, stand and sit at a workstation for intermittent periods of time.
  3. Requires sufficient arm, hand, and finger dexterity in order to use a personal computer keyboard and other office equipment.
  4. Requires the intermittent ability to lift, pull, or push lightweight (up to 40 pounds) materials and equipment around classroom/laboratory environs and into and out of storage or filing areas.
  5. Requires normal hearing and speaking skills to communicate with staff and students in one-on-one and small group settings, and distinguish sound prompts from equipment.
  6. Requires visual acuity to rad printed materials and computer screens and to observe students perform tests in classroom, laboratory, and tutorial settings.
  7. Sitting for extended periods of time.
  8. Work extended hours, may be required depending on department needs.
