Facilities Event Assistant



Function:
The purpose of this position is to schedule and assist in the logistical planning and coordination of resources and services required in executing internal events and providing support to event coordinators for external events as needed. This support includes assisting in the oversight of the pre-planned event while in progress.

Essential Responsibilities:
1. Examine facilities and /or properties before guests arrive. Greet and direct customers as they arrive on campus. Answer phones, assist customers with basic A/V setups in contracted rooms. Generate and place signage at facilities being used for events. Create centerpieces for events, setup linens, and other d cor as needed.

2. Logistical planning and coordination of resources and scheduling of facilities
for internal events, and provide support to event coordinators for external events
as needed. This support includes assisting in the oversight of the pre-planned event while in progress.

3. Effectively communicate across departmental lines by printing and distributing reports, scheduling and leading pre-con and post event meetings for internal events as necessary to include all impacted departments.

4. File and maintain all customer and event related documents in accordance with established administrative and departmental policies, procedures and priorities.

5. Utilize a variety of software to accurately input information regarding the needs of events and the department.

Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.

Position requires close visual acuity to perform activities (i.e. preparing/analyzing data and figures; transcribing; viewing a computer monitor; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines; using measurement devices; and/or assembly or fabrication parts at distances close to the eyes).

Moderate noise.

Typical office or administrative conditions (i.e. not substantially exposed to adverse environmental conditions).

Required Qualifications:
1. Associate's degree (AA) or equivalent from two-year college or technical school; or equivalent combination of education and/or experience.

2. One year of experience providing direct customer service both in person and over the phone.

3. Proficient computer literacy, specifically in Microsoft Office suite of products (Word, Excel, PowerPoint and Outlook).

4. Effective verbal and written communication skills required to effectively communicate with all levels of the College and external guests and vendors.

5. Ability to perform well under pressure in a fast paced, dynamic work environment.

6. Ability to work independently and interdependently across department lines.

7. Demonstrable ability to multi-task, prioritize, work efficiently, and adhere to deadlines.

8. Possess a current State of Illinois Food Service Sanitation Certification and CPR Certification or have the ability to obtain same within 90 days of hire date.

9. Payment handling experience.

10. Flexibility to adapt to all situations and work varied work hours including days/evenings/weekends/holidays as needed to support customer event schedules.

11. Experience working with a diverse population.

12. Ability to lift and/or move 25 pounds.

13. Ability to stand for extended lengths of time.

Desired Qualifications:
1. One year of experience in planning meetings or events desired.
