Job Summary:

The Department of Bacteriology is a complex academic unit with resources of about $30 million in research funds, over $3 million in state funds, and about $3.8 million in UW-Foundation accounts. There are over 184 separate fund accounts and over 118 research grants. The department's personnel consists of 19 full-time faculty, 5 instructors, 3 active emeritus faculty, 41 academic staff and classified support, 96 research assistants and trainees, 13 postdoctorates, and 36 undergraduate hourly employees. There are 200 undergraduate majors and 109 graduate majors, the department teaches over 6500 credits each year.

This position is responsible for monitoring the spending of various department funds and ensuring compliance with established budget guidelines set forth by the university and projecting spending commitments to prevent year end overdrafts. The position develops drafts of the department's budgets for the Chair and Academic Department Manager. This position meets regularly with the Department Manager and the Payroll and Benefits Specialist regarding potential or actual budgetary shortfalls and problems with state budgets and will recommend effective solutions. S/he meets regularly with the UW Grants and Contracts Specialist to keep abreast of current research grants to charge when purchasing supplies and equipment and payrolling student hourly and LTE employees supported on research grants.

The department uses a local computerized accounting system, personal computer-based spreadsheets, HRS (campus Human Resources System), and WISDM functions to conduct operations and to monitor the department funds. Comprehensive application of accounting and bookkeeping practices and principals and extensive familarity with Microsoft Office (Excel, Word, Outlook) and related financial software is required. A positive and energetic attitude is required because this position interacts with nearly all of the personnel in the department. This attitude must extend to many campus administrative offices within and beyond the College of Agricultural and Life Sciences as well as to vendors and granting agencies located throughout the US.

This position performs these assigned duties under close progressing to general supervision of the Department Administrator in compliance with university and agency guidelines.
