Job Summary:

The person in this position (hereafter, this position) serves as an executive assistant in the Office of the Dean and Director in the College of Agricultural and Life Sciences (CALS). The position has the responsibility of providing specialized direct administrative support to the assistant dean for facilities, planning, health and safety, and to the director of international programs in CALS.

The position serves as a liaison between the administration, faculty and staff, campus, and external contacts for the assistant dean and international programs director. The position is expected to utilize a considerable amount of independent initiative and judgment, exercising a high level of administrative, problem-solving, and analytical ability.

The position is responsible for: managing the affairs of the executives by preparing reports, maintaining sensitive materials, anticipating their needs for information, developing and maintaining information in an electronic format, coordinating and scheduling various meetings and appointments, and representing the college at various times in their absence on behalf of the Dean and Director's Office. This position also assists the other deans in the CALS Dean and Director's Office, on an as-needed, special project, or back-up support basis.

The position must be committed to presenting a positive image of CALS by demonstrating a commitment to courteous, sincere, timely, and sensitive customer service through conveying a positive, patient, and tolerant attitude in all personal, electronic, and telephone interactions. The position must consistently exercise common courtesy, accuracy, and professionalism, and must strive to maintain cooperative relationships with faculty, staff, students, alumni, donors, board members, administrators, and visitors. The position must have exemplary oral, written, and interpersonal communication and human relations skills. This position is privy to confidential records and conversations, and duties performed are of a sensitive and confidential nature. By the nature and location of this position, the incumbent is privy to confidential records and conversation that directly affect employer-employee relationships referred to in 111.87(7) Wisconsin Statutes.

This position works with the assistant dean for facilities, planning, health, and safety on matters including the biennial capital projects and proposal, facility management, maintenance and remodeling, health, safety and emergency preparedness, and building-related matters. This responsibility encompasses 35% of the job.

This position works with the international programs director, providing administrative support to the director and operational support to the international programs unit. This responsibility encompasses 50% of the job.

This position provides support to the following CALS governance committees: the Committee on Academic Staff Issues, the Equity and Diversity Committee, the Facilities Committee, and the International Programs Committee.

Preference will be given to candidates experienced in supporting senior level executives. Administrative experience in a higher education setting preferred. Bachelors degree preferred but not required.

Schedule Comment:

Monday through Friday, 7:45 a.m. to 4:30 p.m., with occasional nights and weekends as necessary.
