Job Summary:
This position will provide direct support to the Division Chiefs, faculty and staff within the Department of Pediatrics. This position is responsible for the coordination of complex daily clinical, academic, supervisory, and administrative activities, as well as the coordination and organization of the Chief's communications, meeting planning, and travel. Professional communication, workplace sensitivity, and diplomacy are essential as well as excellent administrative, organizational, computer, and interpersonal skills.
The responsibilities require considerable independence of planning, decision making and action often involving delegation of aspects of work to others. The incumbent is expected to utilize a considerable amount of independent initiative and judgment, exercising a high level of administrative problem solving and analytic ability.
This position will also supervise Medical Program Assistants at the Associate or Senior levels. Primary supervisory responsibilities include oversight of work flow to ensure timely completion of diverse patient related, teaching, research, administrative and professional society activities for staff physicians and fellows. This position will complete regular performance evaluations and provide mentoring, training and feedback to employees.
This position tracks, prioritizes and organizes multiple ongoing projects in various stages of progress in such a way as to assist the Chief in completion of these projects. This position requires knowledge of and considerable experience with hospital and university policies and procedures, as well as the operational details of managing a Division within a medical center and frequently interfacing with administrative entities. This position must show confidentiality regarding all written and oral interactions.
