Working Hours: One regular, full-time, categorically-funded position, 40 hours per week, 12 months per year, on the Oceanside Campus. The work schedule will be Monday through Friday, 8:00 AM - 4:30 PM. The person selected for this position will be subject to assignment to any district facility and may sometimes be required to work evenings, weekends, and holidays. As a categorically-funded position, continuation of this position from year to year is dependent on continued funding.

Basic Function and Other Details:
Under the direction of Director, Financial Aid & Scholarships performs a variety of complex secretarial duties and administrative/organizational support for the Financial Aid office. Serve as the primary point of contact for the Financial Aid Office, providing customer service in-person, by phone and via email. Determine eligibility for Board of Governors (BOG) Fee Waivers, maintain necessary records and reconcile program expenditures; perform specialized clerical duties involving federal and state financial aid programs; provide technical assistance and information to students, staff and the public.

Representative Duties:
REPRESENTATIVE DUTIES:
(E = essential job function)

1. Provide technical assistance and information to students and staff by phone and in person regarding policies and procedures for various federal and state financial aid programs; make referrals to other areas of student services as appropriate; provide information and assistance to other Student Services departments for the Board of Governors Fee Waiver program. (E)

2. Instruct students in correct procedures for completion of forms and applications; explain applications, requirements and restrictions; perform moderately complex duties involved in the preliminary evaluation of student aid records for completion of federal and state requirements; maintain and update records of prospective recipients. (E)

3. Process Board of Governors waiver applications; scrutinize income verification documents; request additional documents as needed; make eligibility determinations based on State Board of Governors fee waiver eligibility requirements; enter information into the computer to be accessed by the automated registration program. (E)

4. Provide information to students on status of their federal aid application by accessing computer files; provide necessary documents; recommend alternative documentation if appropriate; refer unusual situations to Director, Financial Aid & Scholarships or Technicians. (E)

5. Schedule appointments for students and maintain automated appointment schedule for Financial Aid Office staff; provide appointment reminders to staff daily; answer telephones and provide information and assistance as required. (E)

6. Assist with annual reconciliation of Board of Governors fee waiver expenditures. (E)

7. Compose and transmit correspondence to students relating to Board of Governors waivers, enrollment fee and non-resident tuition deferments, and related subjects.

8. Provide training and work direction to student workers as assigned.

9. Maintain accurate records to track activities and to meet state and federal audit requirements; audit records to assure accuracy; monitor collection of deferred fees owed by students; assure accurate accounting through computer entry of enrollment changes and fees collected or owed; place holds on student records as needed; initiate refund requests when appropriate; monitor student fee transactions to insure correct tracking of payments and refunds; resolve problems in coordination with Admissions and Records and Fiscal Office staff. 10. Initiate and compose correspondence as appropriate; type memoranda and a wide variety of materials; make and post signs on ad hoc basis to inform students and staff of special deadlines, requirements, and events.

11. Assist Director, Financial Aid & Scholarships with administration of special local and/or District student assistance programs.

12. Perform preliminary screening of any applicable campus based loan program applicants (such as emergency and/or book loans) for the Director, Financial Aid & Scholarships or Technicians. (E)

13. Conduct Financial Aid workshops regarding the processing of Financial Aid applications.

14. Review and perform initial data entry for federal loan applications; confirm identity of applicant; confirm completion of loan counseling.

15. Attend workshops, conferences and other training sessions involving financial aid as assigned. (E)

16.Perform other related duties as assigned.

Minimum Qualifications:
To be eligible for this position, you must meet and provide evidence of the following minimum qualifications:

1. High school diploma or the equivalent; AND

2. One year of related clerical experience involving frequent public contact. (IMPORTANT: For work experience, one "year" is defined as equivalent to 40 hours per week for 12 months, or at least 2,080 hours)

Desirable Qualifications:
1. Previous experience with financial aid programs. 2. PeopleSoft experience.
