Executive Assistant

Job description

This high profile position requires superior skills and abilities. Responsible for a variety of sales and administrative duties, the primary focus is to provide professional support to the Regional Vice President on all projects, initiatives and daily operations. Should possess the skills required to effectively communicate within the organization as well as to external stakeholders.

ESSENTIAL FUNCTIONS:

  • Manage the calendar of the RVP to schedule and accommodate external and internal meetings including itinerary/meeting coordination and planning, and making travel arrangements as needed. Identifying and managing conflicting priorities in scheduling and appointments
  • Work closely with the regional business manager regarding PARS, change notices, financial reporting, trade approvals, etc
  • EBPro entry, time card processing, expense reports, PTO submissions
  • Acting as a liaison on behalf of the RVP with other executive members and business unit leaders on a variety of subject matters, often sensitive and highly confidential in nature.
  • Expertise with CRM database, Élan database and Breeze.
  • Planning and scheduling internal meetings, external conferences calls and web based presentations
  • Prepare various weekly and/or monthly reports for RVP and follow up on required report updates from various staff members
  • Control deadlines of projects assigned by RVP to various staff
  • High level of proficiency in business correspondence

Desired Skills and Experience:

QUALIFICATIONS:

  • A minimum of 5 years of working experience in an executive environment showing a proven ability to work in high-pressure environments
  • Exceptional verbal and written communication skills
  • Advanced Experience with Microsoft Word, PowerPoint and Excel
  • Ability to interact comfortably with a variety of stakeholders (i.e. staff, executive team, external clients)
  • High attention to detail, multi-tasking expert
  • Ability to fine-tune writing and materials to the needs of specific audiences
  • Ability to work independently, with a demonstrated ability to be a self-starter and meet tight deadlines
  • Excellent communication skills, including team-work, presentation, oral and written
  • Proven ability to manage and coordinate multiple projects in a fast-paced environment
