Training Grant and Financial Coordinator - Friedman School of Nutrition

The Training Grant, Fellowship, and Finance Coordinator (Coordinator) at the Friedman School of Nutrition Science and Policy (Friedman School) provides broad administrative support to training grant principal investigators (PIs) and relevant senior administrators in managing and developing proposals and renewal applications and annual reports for NIH and other federally-funded pre-doctoral training grants.

The Coordinator is also responsible for managing a list of available fellowships and related resources for Friedman School students and for coordinating various financial activities that may include coordinating payroll information, initiating financial transactions, tracking the activity of financial accounts, and coordinating reporting needs. The Coordinator reports to the Director of Research Administration regarding training grant and student fellowship responsibilities and to the Director of Business Operations regarding general finance responsibilities.

Primary training grant and fellowship responsibilities include:


Under the supervision of the Director of Research Administration, work with faculty PIs and coordinate the processes associated with training grant applications, renewals, and annual reports
Serve as the first point of contact regarding training grant matters for trainees and principal investigators
Initiate all training grant appointments and terminations using NIH s xTrain system and initiate related Personnel Action Forms
Maintain records of current and former trainees, mentors, and preceptors using NIH s xTRACT system
Produce data tables for training grant proposals, renewals, reports and biannual steering committee meetings; coordinate data acquisition, data problem identification and resolution
Manage collection and entry of trainee publications into NIH systems and address publications that are noncompliant with NIH regulations
Prepare offer letters when students are assigned to training grants
Track student status in relation to training grant requirements
Track training grant budgets and provide periodic reports to principal investigators
Assist trainees with expense reimbursement
Maintain and update the Friedman School website content related to training grants and student fellowship opportunities
Organize program activities of the training grants (biannual steering committee meetings and other meetings)
Compile and maintain a database of student fellowship opportunities, and disseminate opportunities to students

Financial activities include:


Coordinate weekly payroll submission and time off tracking, including reminders and time entry
Process student worker and temporary employee appointments and coordinate related onboarding needs.
Coordinate with TSS on payroll- and appointment-related troubleshooting and resolution
Run periodic reports on a variety of topics including fund balances, transactional activity, upcoming appointment end dates, and time off balances. Assist with addressing related questions.
Process expense transfers, invoices, requisitions, interdepartmental transfers, reimbursements, honoraria, consultant contracts, vendor setups, purchase orders, check vouchers, and bursar deposits.



Qualifications:

Basic Requirements:

At least 3 years of relevant, hands on, professional financial, accounting, or administrative experience
Excellent analytical, critical thinking, and problem solving skills.
Excellent communication and customer service skills.
Strong attention to detail, accuracy, and proofreading ability.
Excellent time management and organizational skills, and the ability to reprioritize as needed in a fast-paced environment. Must be able to work with interruptions, adapt to change, and respond quickly to last minute requests and changes
Ability to properly manage confidential information
Competency using a variety of computer applications, especially Microsoft Word and Excel.
Must possess the ability to learn and adapt to new systems and software quickly
Preferred Qualifications:


Bachelor s degree in finance, accounting or business
Experience in higher education and/or grant administration
Familiarity with PeopleSoft, Data Warehouse, and/or similar reporting systems
