Minimum number of years and type of relevant work experience:

A minimum of 5 years of progressively responsible professional experience with a record of significant accomplishments in managing complex organizations, departments, centers or programs, in an academic medical center environment required. Demonstrated experience overseeing administrative and operational processes and resources as well as an in-depth understanding and recognition of multiple missions of teaching, research, clinical service and community service is required. Demonstrated ability to communicate and interact effectively with faculty, staff, and students; demonstrated abilities in policy development and budgetary/finance skills; excellent organizational skills and experience managing staff; experience participating in committee activities required.

Position also requires strong leadership, management, faculty relations, financial analysis and oral/written communication, team building, systems expertise, creativity, flexibility, collaboration, organization assessment, decision-making and interpersonal and staff development skills as well as the ability to operate in high-pressure situations. Candidates must also demonstrate a high degree of initiative, operational efficiencies and cost containment, human resource management and strategic planning.

Position Summary:

The Associate Director of Business Services - Operations will provide administrative leadership in clinical care operations, marketing, operations management, strategic plan implementation and tracking, facilities, alumni management, nominations oversight and information systems and administrative services for the Department of Family Medicine and Community Health (DFMCH) missions of education, clinical, research, and community service under the direction of the Administrator (Director of Business Services) and Chair of the Department of Family Medicine and Community Health. The Associate Administrator will be a liaison between the department, the School of Medicine and Public Health, and UW Health regarding Human Resources. This position acts on behalf of the Director of Business Services in a defined capacity on an on-going basis. This position fulfills all aspects of duties of the Director of Business Services during any absence and requires extensive knowledge of all department administrative functions. The position will independently identify problems and develop solutions and direct others in implementation of the solutions. The incumbent will be expected to become and remain current with new innovations in academic medicine, make independent decisions regarding staffing for the support areas within various units, and participate in the strategic planning process providing input on prioritizing goals.

DFMCH currently has 908 faculty and staff consisting of 165 paid faculty, 65 residents, 19 fellows, 480 UW Health staff, 92 UW academic staff, 60 UW University Staff, and 27 student hourlies. The DFMCH also has 44 honorary appointments and 19 affiliate and joint appointments. In addition, the department has 360 statewide clinical adjunct faculty and preceptors who provide much of that critical teaching in approximately 110 communities statewide. There are currently 20 UW Health family medicine clinical sites (6 residency clinics; 9 community clinics and 4 regional clinics) statewide.

The position entails a high level of complexity in day-to-day operations and requires a high level of initiative, creativity and personal responsibility. The complexity is evident by the fact that the Department has a $110 million annual operating budget and is organized into over 40 cost centers representing clinical operations, educational units, research activities, service and administrative units. In addition, it is geographically dispersed at 24 locations throughout Wisconsin. It is also evident as the individual must work with and coordinate operations between several entities such as the UW School of Medicine and Public Health, UW Health, William S. Middleton Veterans Administration Hospital, and affiliated hospitals.

The Associate Director of Business Services reports directly to the Director of Business Services and works in close cooperation as a member of the DFMCH Administrative Team.
